Everyday Health is seeking an Executive Assistant to support the EVP - Consumer Health & Wellness, CTO, and VP & GM Everyday Health. If you are a dynamic and enthusiastic Executive Assistant who functions in a detailed, efficient, and proactive manner, we want to hear from you. The ideal candidate is an experienced professional who is motivated, organized, personable, and a true team player. They leverage their executives’ time by working independently to proactively complete tasks.

  • Responsible for the daily schedule of multiple executives, ensuring their days run smoothly and efficiently by anticipating needs, communicating key changes, & directing them to meetings in a timely manner.
  • Maintain busy calendars by coordinating meetings, resolving scheduling conflicts, and working with team members to reach common goals.
  • Manage all travel arrangements including flights, hotel accommodations, car rentals, & car services. Itinerary creation prior to each trip.
  • Compose regular correspondence with executive management and high profile clients.
  • Process and track expense reports and reimbursements.
  • Assist with the creation & modification of presentations, spreadsheets, and other reports.
  • Team event coordination: tracking attendees, researching & booking venues, negotiating contracts etc.
  • Meet and greet visitors and VIP clients.
  • Coordinate conference rooms and catering.
  • Answer phones in a professional manner.
  • Provide core administrative support such as faxing, filing, copying, binding etc.
  • Provide lunch coverage for our Operations Assistant at the front desk

  • Three to five years’ experience in an administrative role with a minimum of two years supporting senior level executives
  • Must be highly dependable, detail-oriented, and possess strong prioritization skills
  • Exceptional attention to detail
  • Highly focused & results oriented, thinks on their feet, anticipates needs, & thrives in deadline-driven environments.
  • Strong time management skills; able to juggle multiple projects with shifting priorities
  • Excellent written communication & interpersonal skills
  • Must have superior skills in MS Word, Outlook, PowerPoint and proficiency knowledge in Excel
  • Possesses sound judgment – able to make reasonable, sound decisions when direction is absent
  • High energy level and a positive attitude
  • Ability to work well with a team
  • Degree preferred
