The Executive Assistant must be exceedingly well organized, flexible and enjoy the challenges of supporting all administrative matters pertaining to the office of the President and to the senior executive team in achieving corporate objectives. This role encompasses handling a wide range of administrative and executive support-related tasks while being able to work independently with little or no supervision, as well as being able to handle a wide variety of activities and confidential matters with discretion.

The Executive Assistant must possess the ability to interact with staff at all levels in a fast paced environment, sometimes under pressure, exercise good judgment in a variety of situations, remaining flexible, proactive, positive, resourceful and efficient, with a high level of professionalism and confidentiality. Excellent written and verbal communication skills, decision making ability and strong attention to detail are equally important to success in this role.

The Executive Assistant reports to the President of the organization.

Duties and Responsibilities

Customer Responsibilities:

· Exhibits corporate values, polish and poise in communications with external and internal customers on behalf of the President and senior executive team. Sorts and determines priority of customer inquiries and clearly communicates priorities to executive team

· Completes deliverables for the President and senior executive team, including drafting correspondence and other tasks that facilitate their ability to effectively lead the organization and achieve corporate objectives

· Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion

· Directs or handles in-coming telephone calls for the President

· Seamlessly coordinates logistics for meetings with customers on behalf of the President and senior executive team

· Coordinates and executes personal outreach to customers on behalf of the President, including but not limited to birthdays, condolences, anniversaries etc...

Corporate (Experitec) Responsibilities:

· Works with President and executive team to coordinate company and community events and awards/recognition

· Works with executive team to maintain business cards, stationery and other employee needs

· Works with administrative team to maintain outlook contacts and phone list

· Coordinates key building management activities and building furnishings

· Manages Notary and filing duties as necessary

Principal Responsibilities:

· Exhibits corporate values, polish and poise in communications with principals on behalf of the President and senior executive team. Sorts and determines priority of principal inquiries and clearly communicates priorities to executive team

· Understands and reflects Experitec’s and our Principal’s key differentiation and value proposition to our customers

Internal Responsibilities:

· Schedules and coordinates all aspects of travel for the President and senior executive team including group arrangements when necessary

· Independently coordinates all aspects of meetings for the President and senior executive team including scheduling and reservations, meeting materials and logistics take and prepare notes when necessary

· Completes expense reports for President and senior executive team

· Reviews, sorts and prioritizes mail and other correspondence for the President and senior executive team

· Creates, reviews and formats PowerPoint presentations and other materials for executive team as needed

· Provides support to outside sales team including cadence scheduling and tracking, as well as assisting with meeting scheduling and materials when needed

· Coordinates sporting and event ticket distribution

· Works with executive team to coordinate SharePoint and intranet postings

· Works extra hours whenever necessary

Qualifications (Knowledge & Skills)

Education :

* Bachelors

* Associates

* Equivalent combination of work and education

Experience :

* Greater than 10 years

Certification:

· * None

Technical Expertise:

· * Proficient in MS Office (Excel, Word, PowerPoint and Outlook), Adobe Acrobat

· * Experience with meeting and event planning

Additional Required Knowledge:

· * Ability to write business correspondence and reports

· * Excellent organizational and time management skills

· * Experience implementing and improving utilization of core business systems and related processes

· * Ability to quickly and effectively discern between competing priorities with minimal guidance. Ability to find new ways of organizing work or planning work to accomplish duties more efficiently. Follows through with tasks to completion in a timely manner

· * Excellent written and verbal communication skills

· * Strong attention to detail

Additional Preferred Knowledge:

· * Experience with SharePoint
