G2 USA is looking for an Executive Assistant for the Executive Creative Director & the Executive Director of Planning & Strategy. The Executive Assistant will provide primary assistance to these executives with occasional assistance to other executives. The Executive Assistant provides a high level of diverse administrative support for those they are assisting. The primary responsibility of this position is to ensure that these executive’s administrative and project-oriented needs are met at all times and that everyday business affairs run smoothly and efficiently.

Specific responsibilities include but are not limited to the following:
  • Schedule and maintain calendar of appointments, meetings, and travel itineraries and coordinate related arrangements
  • Manage incoming/outgoing communications, screen and direct phone calls, process expense reports and maintain accurate files, including those of a confidential nature
  • Prioritize, handle, and route incoming correspondence, external mail, emails and internal information/paper flow
  • Foster strong relationships with senior level management in all G2 offices
  • Create a positive, supportive relationship among Executive Management and agency employees
  • Organize, prioritize and respond as appropriate to inquiries
  • Confirm meetings, reserve conference rooms, arrange for/follow up with food ordered for meetings
  • Faxing, copying and filing as required
  • Order lunch, dinner when requested, to accommodate the needs of the executive
  • Research various subjects for new business pitches, if needed
  • Assist in preparing PowerPoint presentations

  • BA degree or equivalent work experience
  • 3-6 years of experience in a mid-to-senior level assistant position, preferably in a marketing, advertising environment
  • Knowledge of PC and MAC based software including strong MSWord, Excel, Outlook and Internet Explorer and Photoshop
  • Positive attitude
  • Must have strong to expert PowerPoint experience
  • Exceptional interpersonal skills and extremely articulate
  • Strong written/verbal communication skills
  • Highly organized, with a strong attention to detail
  • Capable of handling multiple assignments simultaneously
  • Demonstrated ability to work independently with a high level of accuracy
  • Have the ability to work with confidential, sensitive issues in a professional manner to many levels of internal and external sources
  • Willingness to handle any detail, no matter how small, to ensure the executive’s needs are handled smoothly and efficiently
  • Has the maturity and professionalism required to deal with potentially sensitive information requiring tact, diplomacy, discretion and judgment
  • Ability to develop supportive relationships with all agency departments and agency employees
  • Fast learner/proactive with a willingness to assist others as necessary
  • Demonstrates initiative and flexibility
  • Must take on special projects as assigned
