Duties And Responsibilities
& Minimum Requirements:
The Executive Assistant provides a high level of administrative and programmatic support to the Senior Associate Dean of the division and the division in general. This role requires a high degree of integrity and the ability to maintain the utmost level of discretion and confidentiality. The Executive Assistant should be able to work independently to complete projects with little or no direction. The ability to adapt to a diverse and changing priorities, environments and personalities is also required.
Appropriately represents the organization’s culture, values and mission when interacting with external (and internal) stakeholders
Interacts with external stakeholders for all programs within the division to help link the programs to industry
Coordinates communication for the Boards of Advisors for all degrees in the division including agenda and briefing materials
Manages all logistics to support all advisory boards in the division, including equipment, catering; etc.
Maintains records of board related matters according to organizational guidelines including meeting minutes, governance documents, etc.
Coordinates frequent, often complex Senior Associate Dean travel arrangements with meticulous attention to detail
Post all division faculty syllabi to SCS Website
Schedule in conjunction with the Registrar, all classrooms
Place all bookstore text book orders
Coordinate all division faculty meetings
Plan and coordinate all monthly division meetings
Communicates proactively and timely
Collaborates effectively across functions
SKILLS AND QUALIFICATIONS
Minimum of 5-8 years experience in an executive support function or Executive Assistant position in a fast-paced environment, dealing with diverse issues, and managing multiple priorities
Undergraduate degree with a minimum of 5 years of professional experience required. Results-oriented and an active agent of change in organizational culture
Ability to juggle multiple assignments while meeting deadlines
Maintain flexibility within a dynamic, fast-paced environment, and maintain a sense of perspective
Unquestioned integrity and respect for diversity and cultures
Good team player
