Description

Provide for the administrative support for senior executives and their teams.

·

Role involves providing executive administrative support that facilitates the overall efficiency of the organization through; clear communication, scheduling, follow-up, on-time deliverables, organization, planning, and a pro-active approach to administrative duties.

·

Administrative duties include, but are not limited to:
·

Manage meeting and travel arrangements both domestically and internationally.

·

Field and review internal and external inquires and requests diplomatically, escalating high priority issues and redirecting specific issues to appropriate manager.

·

Manage executive schedules, meeting planning, and other traditional support functions as required, including meeting and travel arrangements, and coordinating calendar.

·

May take on ad hoc projects or support key organization projects to assist with internal employee meetings or conferences, customer events, marketing training events, etc. Also, may take lead in working with research vendors to coordinate longer-term projects that would involve various personnel.

·

Be comfortable with deadline pressures and managing multiple demands for critical deliverables with accuracy and grace.

·

Must have strong planning and follow-up skills and be able to think ahead to plan contingencies.

·

Proficient or expert in utilizing Microsoft Office 2007 software products: PowerPoint, Excel, Word, etc.

·

Handles the processing of invoices and purchase orders.

·

Handles occasional research projects, issue monthly reports, supports budget reconciliation,

·

Adhere to confidentiality of information around; company acquisitions, strategy, marketing plans and programs, employee and business performance, etc.

·

Will back-up other Executive Assistants when needed (vacations, etc.)

Qualifications

·

Associates degree in business. Bachelor's degree preferred.

·

International experience is a plus as corporate organization works worldwide; schedules, travel, meetings, etc.

·

Experienced in project management with ability to handle multiple projects & tasks.

·

High attention to detail, and excellent follow-up and planning skills. Must be able to understand, handle and schedule multiple priorities.

·

Must have highly collaborative approach in working with client teams and cross-organizationally,

·

Excellent communication skills (written, oral, and presentation).

·

Must represent values of the organization of teamwork, respect, accountability, integrity and innovation. Person with high energy and optimistic outlook will be most successful.

·

Role requires ability to work independently with minimal direction/supervision.

·

Must be flexible with work schedule; work hours that may require arriving early, or staying late to meet deadlines; some overtime may be required.

·

Position requires expert proficiency in the operation of PC and related software, especially competent with PowerPoint and Excel.

·

Demonstrated administrative/organization skills.

·

Minimum 8-10 years in corporate environment supporting executive level.

·

Oil and Gas industry or information industry experience preferred.
