The President and Chief Operating Officer of Intellectual Ventures is seeking a top-notch Executive Assistant with demonstrated professionalism, who can develop a partnership with her and her team and who is looking for an opportunity to be involved in project-related activities. Demonstrated commitment to excellence, flexibility as well as poise, confidence, and the ability to interface with clients and co-workers in a professional, approachable, and positive manner is a must.

Time management:
Keep the President, her office, and the Executive Leadership Team apprised of calendar, action items, messages, and relevant business issues, both internal and external

Make appropriate, informed decisions regarding the President’s available time

Communications management:
Use sound judgment when processing email; may compose messages/replies on the President’s behalf

Screen incoming calls, correspondence, interoffice materials, determine priority and respond appropriately. Make recommendations regarding appropriate action and follow-up

Act as a liaison between the President and internal groups at Intellectual Ventures and outside parties

Manage confidential business matters, internal communications, and files

Event Coordination:
Coordinate ongoing meetings and special events, from scheduling to agenda creation, logistics, catering, and any other related tasks, often with team members from other departments

Coordinate and manage content and audio/video conference logistics for some meetings

Coordinate complex domestic and international travel, from booking to thinking through and preparing the President for trips

Other duties:
Serve as a delegate for the President’s Chief of Staff and Program Manager, as needed

Occasionally take meeting notes and help the Chief of Staff and Program Manager follow up on action items from key meetings

Coordinate, or create and format documents and presentations including Executive Leadership Team monthly reports, letters, trip reports, itineraries, spreadsheets, and other documents

Occasionally research various topics for President and recommend actions

Prepare expense reports and coordinate reimbursements

Key Qualifications and Required Skills:
5+ years’ experience supporting C-level executives, preferably in a fast paced and challenging environment

Ability to make solid business decisions, problem-solve, and multi-task in a highly dynamic work environment

Bachelor’s degree preferred

Advanced skills and experience in MS Word, Excel, Outlook and PowerPoint are required; experience with SharePoint a plus

Proven ability to exercise high degree of confidentiality

Project management or project coordination experience required

Event management experience a plus

Excellent grammatical, editing, and proofreading skills required

Exceptional interpersonal, verbal, written, and cross-cultural communication skills

Must be detail-oriented and able to effectively prioritize

Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external stakeholders

Proven ability to set priorities and work independently with little or no supervision

Ability to receive and provide constructive feedback
