The Senior Administrator is responsible for performing a variety of administrative functions in support of the corporate executive team. The position reports to the Director, Corporate Administrative Services.
This candidate will fulfill the administrative requirements supporting several executive level individuals within the suite.
•Will provide support to the Director, Corporate Administrative Services, and Executive Assistant to the CEO, as assigned.
•Assist in maintaining multiple executive’s schedules including but not limited to scheduling executive meetings and travel plans.
•Assists executives and prepares for meetings by gathering documents and creating/organizing presentations.
•Responsible for reading and analyzing internal memos and reports to determine their significance and plan distribution if necessary.
•Responsible for overseeing the Corporate Travel Management program.
•In some cases may handle the executive’s mail – responsible for opening, sorting and distributing (if necessary) incoming correspondence.
•Interfaces with clients, partners and employees to address immediate concerns and determine level of priority while maintaining corporate philosophy of “open door” management.
•Prepares correspondence on behalf of executives.
•Greets visitors if planned; makes sure they are comfortable and the executive is ready to meet with them. If guests are not planned; greeting and determining whether they should be given access to the executive.
•Thinks ahead, anticipates needs.
•Integrity, discretion and good judgment. The executive administrator handles a significant amount of confidential and sensitive information and continually makes value judgments regarding priorities and information requests
•Insanely responsive. The Executive Assistant responds to adhoc and unexpected requests in a timely manner.
•Exceptional interpersonal skills. The Executive Assistant interacts with Sr. Executives across the company, our clients, and our partners.
•Capable of handling potentially difficult situations with aplomb.
•Excellent communication (written and oral) skills. The Executive Assistant represents and crafts messages for Sr. Management.
•Initiative and foresight. The Executive Assistant anticipates the executive’s needs and takes the initiative to proactively solve issues.
•Able to multitask
•Proficient with technology: including but not limited to MS Office, including Excel, PowerPoint and Word.
Desired Training and Experience:
•Advanced training in general office practices, procedures, and equipment
•A thorough knowledge of Microsoft Office applications including Excel, Outlook, Word and PowerPoint.
•Deltek Enterprise software is highly desirable
•Five years + experience in corporate administration – at least two of the five years supporting executives.
