This position will be proactive, resourceful, detail-sensitive, articulate, and accustomed to working in fast paced environments, and have experience supporting senior level executive and managers.
Manage all scheduling of executive’s time to include meetings, conference calls, personal appointments, etc.
Coordinate both internal and external meetings and conferences.
Meet and greet clients/visitors.
Answer incoming calls as appropriate and manage incoming correspondences by prioritizing and distributing accordingly.
Prepare and submit expense reports.
Compose correspondences for signature and distribution.
Develop and maintain databases and spreadsheets.
Perform general clerical duties to include: photocopying, filing, faxing, preparing outgoing mail, support of reception and other administrative staff, etc
Strong oral and written communication skills.
Exceptional attention to detail and strong organizational skills.
Ability to interact with and maintain good working relationships with staff of all levels.
Ability to identify and resolve issues in a timely manner.
Ability to operate in a discreet and confidential manner.
Strong proficiency with Microsoft Office software, including excellent Microsoft Publisher skills.
Minimum 3 to 5 years administrative experience supporting senior level executive and managers.
Bachelor’s degree or commensurate level of education (administrative/clerical concentration) and experience, required.
Solid and continuous work history is a plus.
Ability to travel when required.
