Brief Description


Provides seamless administrative support for members of the Senior Leadership Team (SLT) and/or JEA’s Board of Directors. Using independent judgment and subject matter expertise, serves as liaison between core/enabling process owners & different groups within JEA, ensuring the best possible service to all JEA customers. Increases external & internal customer satisfaction by effectively responding to and resolving customer inquiries. Establishes & maintains relationships with key external stakeholders; e.g. mayor, sheriff and other city executives by acting as CEO/SLT representatives in answering inquiries, making decisions w/in parameters of JEA’s mission & business priorities. Implements, manages and establishes priorities for projects and deliverables in support of the SLT or Board Members. Manages executive office workflow to ensure efficiency and timely information exchange, following up on action items, screening and determining priority matters and proactively handling appropriate matters. Analyzes information, maintains and controls correspondence, database files, spreadsheets and graphics, stores and retrieves paper files. Enhances corporate effectiveness by ensuring meeting agendas are prepared, meeting room logistics are organized and minutes are taken and distributed. May assign, monitor and review the work of others.

Detailed Description


Duties may include but are not limited to:
  • Effectively manage calendars and coordinate meetings for multiple executives and/or Board members

  • Efficiently prepare minutes, agendas, and related documentation for committees and other meetings that may require strict adherence to Florida open meeting and/or public records laws

  • Prepare letters in response to customers, employees, or other key stakeholders

  • Professionally handle phone or other communications for assigned executives or Board Members

  • Prepare spreadsheets, power point presentations and specialized reports as requested by Executives or Board

  • Handles purchasing and travel processes for Executives and Board Members

  • All other day to day support for the SLT and Board Members.

Job Requirements



Education: One year of business related technical or college credits (24.0+ credit hours) and/or an Associates’ degree in a related field

Experience: At least five years of progressive experience in an executive administrative capacity
