Executive Assistant/Project Coordinator position available
The Capital Markets Group is a group of 16 professionals led by four senior partners with extensive experience as real estate brokers. Our team specializes in the sale, acquisition, and recapitalization of Manhattan properties.
We are looking for an Executive Assistant/Project Coordinator to provide high-level administrative support to two Vice Chairmen, back-up support to two Vice Chairmen, as well as assistance to other junior team members. The candidate will often handle details of a confidential nature and is responsible for prioritizing projects to meet deadlines in a fast-paced, team-oriented environment, and would be responsible for the following tasks; 

Screen/direct a high volume of telephone calls and respond to email and facsimile requests/inquiries 
Coordinate meetings/calendars, conference calls, travel, entertainment, expense reports and departmental invoices 
Maintain/update marketing intranet website, create property marketing materials 
Process all confidentiality agreements for transactions 
Schedule and arrange building tours for prospective purchasers, engineers and property managers 
Create weekly/daily status reports of all inquiries, offers submitted and property tours for clients 
Create and prepare presentations and reports in PowerPoint, Excel or Word on behalf of the supported managers and others, as requested. Must be versatile, professional, a quick learner, obtain strong organizational/communication skills 
Proactively anticipate upcoming projects and needs of supported manager(s) by prioritizing, communicating and balancing the workflow; Show initiative in taking ownership of all projects through completion 
Maintain a professional work environment at all times and comply with the company’s dress code policy 
Work independently with minimal supervision; Have the ability to work with all levels of management

Qualifications

We require proficiency in PowerPoint, Outlook and Microsoft Word. Experience in Photoshop and InDesign are a plus. 
Associate’s Degree required, Bachelor’s degree preferred, and Real Estate experience is a plus 
Minimum of 3 years’ experience as an executive assistant, at least 6 years’ in administrative support role 
Working Knowledge of Adobe Creative Suite (Photoshop, InDesign, and Acrobat)
