POSITION OVERVIEW: The Executive Assistant’s role is to provide top-quality administrative support to the Chief Executive staff (includes CEO, CAO, COO, and Senior Director of Talent). Primary responsibilities include maintaining CEO’s calendar, scheduling meetings, arranging travel, maintaining communication with and providing information to internal and external stakeholders, taking and transcribing board meeting minutes, ensuring the smooth functioning of the general office space, and otherwise relieving Chief staff of administrative and business details. Other duties may be assigned as needed, including events and project management.

KIPP Austin Executive Assistant candidates will have the following:
• Advanced computer skills, including Microsoft Office Suite programs (Word, Excel, PowerPoint, and Outlook)
• Minimum of 2 years of high level executive support experience with duties having included administrative and clerical procedures, working with systems, managing files and records, designing forms, and other office procedures
• Ability to self-manage time and priorities to accomplish a variety of tasks with a high level of independence
• Resourceful, acts as a team player, flexible and able to engage with others in a fast-paced professional environment
• Willingness to go above and beyond when needed to support the executive team and/or special events (may include some early morning or evening hours)
• Bachelor’s degree (required)
• Highly fluent/native-level fluency in Spanish (preferred)
• Experience working in schools (preferred)
• Coordinating Board Meeting logistics and supporting meeting execution in accordance with public charter compliance guidelines
• Coordinate details and set up of management team meetings, conferences and special events including production of materials, preparation of the meeting space, and catering logistics
• Compose, copy, and distribute routine correspondence and memoranda, reports, documents, and printed forms
• Set up, organize and maintain correspondence files and other records
• Order, distribute and inventory office supplies for the central office staff
• Design systems and procedures for the maintenance of shared spaces such as the copy, meeting and mail rooms
• Arrange travel schedule and reservations, including airfare, transportation and hotel services for the chief staff
• Prepare reimbursements, credit card reports, and expense reports for the Chief staff
• Retrieve and distribute mail
• Manage CEO calendar and meeting preparation/materials
• Analyze relevant satisfaction/performance data regarding events, central office support, and region-wide trends and report out to executive team
Salary is based on years of experience, degree of education, and level expertise within the range of 30-35K per year. A competitive benefits package is also offered, as well as a performance bonus program and room for advancement into other roles.
