This position is a combination of Executive Support and Office Management. The position will provide administrative support to the CEO as well as their staff. The successful candidate will also enhance the executive’s effectiveness by providing information-management support and representing the executive to others. In addition, they will serve as liason with corporate office functions and oversee general office services.

  • Serves as primary contact with the company’s Board of Directors for meeting arrangements and distribution of related materials. Accompanies the CEO to board meetings and coordinates conference calls as needed.
  • Maintains high level of confidentiality and professionalism as liaison/ point of contact with corporate office functions, such as facilities, finance, marketing or human resources.
  • Handles sensitive, confidential information on a regular basis and disseminates that information only as needed with a high degree of professionalism.
  • Makes high level contacts of a sensitive nature inside and outside the company.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Provides logistical support with meeting room arrangements and catering as needed.
  • Makes all travel arrangements for executive and staff. Following any travel, prepares and submits expense reports.
  • Collects and prepares information for use in discussions/meetings; assists with preparation and distribution of a variety of documents and presentations.
  • Welcomes guest and clients by greeting them, in person or on the telephone; answering or directing inquires.
  • Maintains continuity among executives, clients and staff by documenting and communicating actions, irregularities, and continuing needs.Tracks and follows-up on outstanding action items.
  • Oversees general office services, which may include facilities and furniture requests, purchase orders, processing invoices, ordering supplies and maintenance of office equipment.
  • Plans, implements and utilizes filing systems for purposes of historical reference; handles documents of a sensitive and business critical nature.
  • Required Skills Minimum of 5 years of executive-level administrative experience, as well as experience interacting with clients, vendors, visitors, and other dignitaries on a daily basis.

    Knowledge: in-depth knowledge of company operations, policies, and procedures.

    Skills: coordination/management skills, including the ability to prioritize and handle multiple tasks; demonstrated good judgment and discretion in handling confidential and sensitive information; strong organization skills; orientation to detail, accuracy, and follow up skills; ability to interact with all levels of employees; strong problem solving skills; appropriate initiative/decision making ability; strong computer skills (MS Office, Word, Outlook, PowerPoint, Excel) and math aptitude.

    Required Experience Education: 4-year college degree, professional certification

    Experience: 5+ years executive-level administrative experience
