This position is located in Brighton, MA.
This position will provide advanced, diversified and confidential administrative and clinical support to the division of Cardiac surgery, with specific support to the Department Cheif. Assists in crafting key and often complex communications including but not limited to replies to inquiries preparation of letters, reports, summaries, forms and charts, travel and meeting arrangements. Organize and maintain records, ensure follow through on pending matters. Coordinate and manage key projects with various individuals and/or departments both internal and external to SMG and the Steward system. Anticipate and prepare materials and data needed by department for conferences, correspondence, meetings, etc. Manages the screening process for electronic, telephonic and executive visitor requests. Serves as an administrative liaison with Physicians, Hospital Presidents, Steward executives, Board members, Community representatives, Government leaders and all Steward staff maintaining complete confidentiality at all times. Manage ongoing and multiple projects, tasks, and priorities involving diverse entities and leaders within and external to the Steward system. Perform reception duties such as greeting, registration, scheduling and check-in of clinic patients, co-payment collection, obtaining referrals, verifying eligibility, surgical scheduling, and clinical data entry into an electronic medical record. Answering telephones and taking detailed messages for surgeons and physician assistants. Manages the on-call schedule for surgeons and physician assistants. Coordinating patient care and follow up labs and testing with other departments. Tracks and reports CME credits. Performs other duties as assigned.
Associates Degree in Business or Secretarial Certificate required; Bachelor’s Degree preferred. 5-10 years experience as a Executive Assistant. MS Office Suite with emphasis on Word, Outlook, Excel, PowerPoint, Access and financial software programs. Thorough knowledge of general executive office procedures with strong organizational skills and a professional manner. Must be able to recognize and be sensitive to management issues, political influences and customer requests/concerns. Significant teamwork skills, decision-making skills, and the ability to organize and coordinate the efforts of multiple leaders. Strong ability to work independently, exercise good judgment. Strong ability to prioritize workload according to volume, urgency, etc. Strong ability to be organized detailed and work efficiently with a high level of detail acumen. Strong verbal and writing skills. Able to interact effectively and accurately in a fast-paced environment. Willingness to accept responsibility as delegated. Ability to maintain complete confidentiality with regard to all personnel, project and information while providing high standards of customer service.
