5-8 years of administrative experience in supporting dynamic managers in high tech industry.

Strong customer/employee interface skills.

Outstanding communication skills, both oral and written.

Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required. Ability to meet designated deadlines is also a critical qualification.

Upbeat and enthusiastic attitude, demonstrating a true passion for both the Company and the position.

Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization in a highly professional manner.

Ability to interface well with all departments within the Company and comply with established policies/procedures.

Possess a high degree of proficiency with MS Office products including Outlook, Word, Excel, Power Point.

Must be able to maintain the highest level of confidentiality. Ability to discretely handle sensitive material/matters concerning the organization and personnel matters within the organization.

Adheres to high standards of ethical behavior in the workplace.

Objectives and Essential Administrative Skills:
Ability to function smoothly and seamlessly supporting multiple high level managers.

Ability to organize and prioritize with highly pro-active task and project management.

Ability to multi-task with ease and sometimes under pressure.

Work with resourceful autonomy as necessary and as a team member at all times.

Efficiently carries out daily responsibilities while remaining flexible on short notice.

Demonstrates the ability to communicate effectively and professionally with customers and external contacts in a highly professional manner.

Email management with timely response. Drafting, editing, proof-reading correspondence.

Answer phone in a professional manner as representative of supported department(s).

Calendar & meeting management using.

Assist all staff with meeting location management and greeting guests & visitors.

Review and distribute mail w/ramp up ability to determine level of importance.

Expense report preparation with awareness of documentation requirements per company policy.

Domestic and international travel planning and preparation with complete itinerary provided as required.

Participation in administrative cross-functional support as needed by administrative staff.

Update department organizational charts as needed for department use.

Develop and/or modify presentation materials using Microsoft PowerPoint.

Prepare POs when required. Have invoices approved and then hand off to A/P.

Work with Facilities & HR to ensure smooth on-boarding of all new hires in both supported departments.
