This role will provide support senior-level product management leaders, and will report to the SVP Business of Care and Emerging Solutions and organization. The post holder will be responsible for delivering a high standard of administrative support to this member and team.
The Executive Assistant shall be based in Ann Arbor, MI and will be part of a team who perform a full range of high-level clerical and administrative support functions whilst coordinating an extremely busy and complex schedule on behalf of the SVP of Business of Care and Emerging Solutions.
To provide day-to-day support to the SVP telephone calls and moderating incoming mail/email, extensive diary management for the SVP to cover global appointments, Telepresence and WebEx meetings across time zones and regions.
Develop and maintain excellent working relationships with Executive Team and other team members.
Manage calendars with numerous last minute updates and conflicts.
Schedule and coordinate various types of meetings including all logistics (i.e., conference rooms, A/V, catering/lunch orders, travel arrangements, webinar/conference lines, agenda preparation, etc.)
Handle situations where independent judgment is exercised, thereby relieving executive of extraneous matters.
Assists with special projects and/or other duties as assigned; manager/department builds and maintains project plans, dashboards, and customer commitments tracking and contributes to meetings to ensure project deliverables are met.
Consolidate or create complex reports and presentations
Make travel arrangements international and domestic (airfare, hotel & car rental) and maintain documentation for expense reports.
To manage and submit expenses with complex requirements.
To collate and distribute reports/documentation as necessary.
To provide support when required to other EA’s due to workload or absence.
Concur, Clarity, 170Markview, SRM and SAP experience
Must have excellent Microsoft Office skills with strong Powerpoint capabilities
Heavy multi-tasking ability
Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
Minimum 8 to 10 years experience in an executive administrative role, preferably in healthcare with previous experience at VP level or higher.
Productive self-starter and team player who works independently.
Excellent verbal and written capabilities with strong composition skills.
Excellent administrative, prioritization and organizational skills to function effectively under pressure with attention to detail while performing multiple work assignments
Expert level in Microsoft Outlook, Word, Excel and PowerPoint. In addition, must be proficient in other Corporate tools such as WebEx, large scale conference call and meeting organization.
Demonstrated ability to manage complex and fluid executive calendars.
