The Assistant is responsible for providing confidential executive-level support. Manages and coordinates the administrative functions and projects of C-Suite leaders.
This role also:
Structures, organizes and expedites the activities and workflow of the office. Prioritizes, schedules, develops and initiates system/database for projects, meetings and issues to assure the efficient and effective management of the office.
Provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing administrative functions such as preparing correspondence, receiving visitors, facilitating conference call set up, coordinating meeting set up and travel arrangements.
Screens mail and phone calls from high ranking Company officials or executives external to the Company. Determines the nature of the call and the degree of urgency and handles routine calls tactfully and diplomatically. Takes and transcribes dictation, much of which is of a highly confidential nature.
Handles confidential and/or sensitive information with discretion and decorum. Answers questions and prepares routine/non-routine correspondence. Obtains and furnishes information on behalf of the executive.
Administers special projects assigned C-Suite leaders. Maintains contact with project stakeholders by effectively communicating project details for reports and information needed. Tracks progress and communicates with stakeholders on issues or deadline changes for project information.
Prepares and presents reports on special projects. Plans and schedules project timelines and deliverables and produces detailed project reports as needed. Collects, analyzes, and formats the requisite information and data and maintains the database.
Assists in the timely management of all communications (written, phone, e-mail and voice mail); composes letters and statements independently requiring excellent knowledge of Company policies, rules and regulations and monitors the follow-up with all distributions that require answers / responses.
Anticipates problems, critical issues and opportunities as they arise and notifies the appropriate resources.
Prepares documents for meetings, presentations, etc. using MS Office, not limited to excel spreadsheets, graphic presentations, PowerPoint presentations and access databases.
Coordinates meetings and communicates instructions with various individuals and/or departments.
High School Diploma / GED and at least 5 years of experience with Executive Level Admin Support
Experience coordinating executive meetings
Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates
Experience with project management (for example: planning, organizing, and managing resources to bring about the successful completion of specific project goals and objectives)
Experience developing ways of accomplishing goals with little or no supervision, depending on oneself to complete objectives and determining when escalation of issues is necessary
Experience establishing and maintaining relationships with individuals at all levels of the organization, in the business community and with vendors
Basic Internet Explorer and email skills, (sending, receiving, and organizing communications)
Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling)
Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font)
Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns)
Willing to travel up to 10% of the time for business purposes (within state and out of state)
