The Executive Assistant to the CEO (EA) will be responsible for providing support to a busy executive office. This is an ideal opportunity for a high-achieving and high-energy recent college graduate interested in gaining exposure to the professional services space.
Provide administrative and production support. Type, copy, route mail, and coordinate with other support staff to ensure smooth implementation of activities.
Maintain CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel. Notify attendees and make necessary arrangements.
Assist CEO by reading, researching and routing correspondence; drafting signature ready letters and memoranda. Handle correspondence, follow up on pending issues and prepare summary information for review. Handle authority to make some decisions on routine matters as directed.
Communicate and help coordinate information and guidelines from CEO to individuals and departments.
Research and prepare reporting materials (documents, spreadsheets, and/or presentations) for special projects as determined by CEO.
As appropriate, interact with Board of Directors in scheduling meetings and events. Prepare and proof board presentation materials.
Answer CEO's telephone and respond or redirect inquiries and/or take messages as appropriate.
Greet and attend to visitors prior to meetings scheduled with CEO and other staff.
Update CEO, and other staff as appropriate, on progress of tasks/projects assigned and communicate results.
Manage expenses and expense reimbursement protocols.
Provide some or all of the above services to other division staff as directed by the CEO.
Other duties as assigned.

A successful candidate will have the following skills and attributes:
A bachelor's degree (minimum 3.0 GPA) from an accredited 4-year university is required;
A resume that demonstrates over-achievement and leadership;
Excellent written and verbal communication skills; effectiveness in conveying clear, well-understood and articulated messages;
Polished and professional presentation skills;
Outstanding organizational skills and attention to detail;
Ability to manage multiple projects and deadlines;
Foreign language proficiency would be beneficial;
Ability to approach day-to-day responsibilities with energy and enthusiasm;
Ability to respond to daily challenges in a calm manner and exercise good judgment;
Previous experience in event planning, communications and/or administrative work preferred;
Self-motivation with the ability to work independently.
0 - 2 years of full-time or part-time professional experience in event planning, communications, marketing and/or administration work.
