Provide highly professional administrative services to the Chief Financial Officer to help optimize the executive’s time and contacts, prepare polished presentations, coordinate the activities of the executive management team and interface with key stakeholders in a refined manner.
Independently coordinates the full range of administrative services to the CFO. Act as primary contact internally and externally for the CFO.
Represents the CFO by welcoming visitors, answering phones, reviewing correspondence and responding to a wide range of inquiries; acts as a primary resource for key stakeholders including members of the board of directors, investors, customers, suppliers, partners and advisors. Works closely with leaders in Investor Relations and other functions to ensure smooth transition of contacts and follow-up.
Independently works and resolves issues; refers inquiries to more appropriate internal contacts; relays information appropriately to satisfy the inquirer’s need without inadvertent disclosure of sensitive information; completes special projects and assignments; establishing objectives, determining priorities, managing time, gaining cooperation of others.
Acts as a primary liaison between CFO, other executive leadership team members, employees, controlling access and information to maximize efficiency; manages highly sensitive and confidential information with discretion, and protect operations by keeping the full range of sensitive information confidential.
Conserves the CFO’s time and focus - reads, researches and routes correspondence and requests; collects and analyzes information; initiates a full range of routine and non-routine communications, correspondence, memoranda, report spreadsheets and presentations; takes ownership for completing tasks independently.
Optimizes the CFO’s calendar to appropriately reflect balance priority and urgency. Organizes meeting materials, notes and other resources to assists the CFO in preparing for the day. Coordinates travel and meeting arrangements.
Performs other administrative functions to maintain the executive office including maintaining corporate records, processing expense reports, preparing budgets and ordering supplies.
Helps establish administrative protocols and standards with the other members of the administrative staff.
Maintains a working knowledge of a range of corporate projects and initiatives to respond on CFO behalf. Maintain current knowledge of internal procedures, technology, (electronic and other systems) and external regulatory requirements. Act in accordance with all internal policies and related external regulatory requirements.
Actively promotes safety rules and awareness. Demonstrates good safety practices at all times including the appropriate use of protective equipment. Reports and takes initiative to correct safety & environmental hazards.

AA degree or equivalent formal training and 10+ years progressive administrative experience in support of a top corporate executive or equivalent.
Previous experience supporting a Senior Executive of a public company with demonstrated skills interacting with board members, investors, equity partners, bond holders and other key stakeholders .
Previous exposure to Financial /budgetary reporting, SEC requirements and Financial Analysis is preferred.
Knowledge of life sciences, biotech and/or pharmaceutical industries would be helpful.
Demonstrated ability to assess urgency and priority of inquiries and issues.
Skilled at independently working issues including referrals to appropriate internal contacts, delegation as well as relaying information appropriately to satisfy the inquirer’s need.
Limited non-routine travel based on business need.
