Advertised Summary Job Description

Reporting directly to the Dean, the Executive Assistant will handle a wide range of matters of institutional importance to the Dean and will be responsible for the overall executive time management of the Dean. The incumbent will manage an extensive calendar; prepare briefs, agendas, and all related correspondence; responsible for complex reports and information gathering; conducting related research; preparation of minutes and special reports involving relevant initiatives and objectives to the School; will prioritize activities, streamline workflow and communications and oversee all scheduling for the Dean; will identify and develop systems to facilitate the smooth functioning of the Dean's activities and will work closely with the Executive Assistant for the Vice-Dean and other members of the Dean's office for the effective functioning of the office, will help develop and sustain an effective support structure for an integrated work relationship among the senior executive team of the Dean's Office and the Dean; will communicate to the Dean's Office staff the goals and priorities set by the Dean; will interface with internal and external constituencies, Board of Visitors and senior staff of the University on a consistent basis; will be responsible for participation in the planning, implementation, and coordination of special events as assigned, working closely with the Columbia community; will work closely with the members of the Dean's office on various special projects; performs other related duties as assigned. Coordinate communication between the Dean and other senior officers of the University. (15%) 3. Support the Dean in achieving the strategic goals and priorities for the School. Communicate those goals and priorities to all members of the Dean's office. (15%) 4. Work with appropriate departments to prepare and/or manage the preparation of reports, briefings, presentations and responses on institutional and strategic issues, related to the Dean's activities. Anticipate and identify issues for discussion at key meetings; identify appropriate meeting participants. (15%) 5. Work closely with the School's Office of Alumni and Development, Office of Student Affairs, Center for Career Education and other departments to set priorities for the Dean's presence at internally and externally focused events and meetings; provide strategic consultation to the Dean and External Relations staff on planning and execution of development trips, events and appointments. (15%) 6. Coordinate special projects on behalf of the Dean, frequently involving faculty and/or senior officers of the University; interact with senior University, industry, government and community leaders. (5%) 7. Organize events to support the school strategic priorities by looking ahead and planning for issues & requirements to ensure a successful and professional event. (10%) 8. Other related duties as assigned. (5%)

Minimum Qualifications for Grade Applicant MUST meet these minimum qualifications to be considered an applicant

Bachelor's degree and/or its equivalent in education and/or experience, plus three to five years' related experience required.

Excellent communication skills, both written and verbal, are critical and required. Professional customer service orientation a must. Excellence in editing written materials is required. Be able to set a climate of decorum and professionalism is essential. Demonstrated ability to set priorities and work efficiency in a highly pressured environment. Must have keen interpersonal and organizational skills and excellent judgment. Must be able to react to time-sensitive matters as well as manage complex, longer-term initiatives. Excellent organizational skills as well as the ability to relate to all levels of personnel required. Must be highly detail oriented with excellent word processing skills. Familiarity with Microsoft Office Suite is essential, including Microsoft Outlook. Proficient in MS Word & Powerpoint. At all times, must exhibit a high degree of diplomacy, tact, and a strong sense of discretion with the ability to identify internal and external politics that impact the work of the school.

Preferred Qualifications

Experience in higher education environment preferred.
