We are currently seeking a Executive Coordinator for our Senior Leadership group. This position is responsible for performing a wide range of administrative and general support duties of a highly responsible and confidential nature for a member(s) (1-2) of Premier’s senior leadership team. This position requires a high level of tact and integrity due to the great frequency of senior-level internal and external contacts and regular exposure to confidential data. Work is performed under minimal supervision, and requires incumbents to exercise independence and discretion. Typically requires extensive experience as an Administrative Assistant or related job in the specific area to understand functions and precedents.

The areas of responsibility and/or percent time will vary as appropriate to the individual situations. The functions listed below represent an array of duties that are likely to be performed in whole or in part by the different roles.

Key Accountabilities:
Communicates executive's instructions or desires to various individuals and/or departments, and furnishes and obtains information from other executives

Receives and screens telephone calls, letters, and/or visitors. Answers routine questions and furnishes information to save executive's time

Routes or answers routine correspondence not requiring supervisor's attention

Schedules appointments and makes arrangements for meetings, conferences, and travel

Organizes and maintains executive's correspondence and records, following up on pending matters with limited direction

Maintains confidential department records and files

Assists in the formulation of the department budget, business planning, and related planning functions

Drafts correspondence for executive's final approval

Transcribes dictation, often of a highly technical and/or confidential nature

Organizes and prepares complex documents requiring the integration of multiple office technology and software applications (Excel, Access, and/or PowerPoint). May act as the office resource for word processing and spreadsheet application

Prepares and analyzes complex trends and status reports, drawing data from a variety of sources within and outside the department

Prepares special reports, gathering, and summarizing data

Has regular contact with customers, suppliers, or company employees outside the immediate work area

Researches a wide variety of complex information requests independently

Organizes and expedites flow of work through executive’s office. Initiates follow-up action

Assigns work to others

Education & Experience Required:
A formal training program after high school require

Secretarial and or administrative support coursework required

Associates or bachelor’s degree preferred

10 plus years experience required

Experience providing executive level administrative support with progressive responsibilities required

Demonstrated experience with Microsoft suite of products and compiling complex spreadsheets and power point presentations required
