The Executive Office Administrative Assistant is responsible for providing clerical support to all Administrative Directors (Facilities / Finance / IT / Postgraduate Education / Tech Transfer). This is a full-time, non-exempt position reporting to the Executive Office Analyst, who will provide training, supervision, and direction concerning competing priorities.


  • For the Administrative Directors:
  • Schedules meetings and provides logistical support to those meetings, including conference room and food set-up.
  • Handles communications, including letter-writing and phone calls.
  • Arranges travel; completes travel and expense reports.
  • Orders supplies.
  • Monitors and reports on department budgets as requested.
  • Scans, files, and provides other document management.
  • Performs other projects as requested.
  • For the Executive Office:
  • Provides reception.
  • Keeps the open office area organized and clutter-free.
  • Manages office and kitchen supplies and restocks supplies as necessary.
  • For the Executive Office Analyst:
  • Provides back-up to Analyst’s desk.
  • Handles clerical and overflow projects.
  • Scans, files, and provides other document management.
  • Functions as part of a team and performs other related tasks as requested.
Education / Experience / Skills Required

AA degree or higher.

Requires outstanding computer skills, attention to detail, tact, discretion, and solid communication skills.

Requires ability to manage multiple tasks and priorities.

This position requires regular office hours of either 9:00 a.m. – 5:30 p.m. or 8:30 a.m. – 5:00 p.m., with a half-hour lunch; must be punctual and reliable.
