The Executive Secretary administratively supports the EVP of Business Development and Strategy under minimal supervision, acting with independence and clear direction. Responsibilities include answering/screening EVP’s phone calls, directing visitors, distributing mail, and coordinating travel itineraries. Composes and proofreads correspondence, prepares information, reports, and other confidential materials. Participates in special projects as assigned.
Acts as a liaison between the EVP and internal/external contacts responding to issues in a timely and efficient manner. Coordinates all paperwork for approval, which includes attendance sheets, travel and expense reports, other personnel documents and authorization payment forms. Provide periodic administrative support for the VP, Operations APS and staff. Maintains department files and records and orders office supplies as needed.
Qualifications The ideal candidate will have five or more years of administrative experience reporting to a high level executive or relevant business experience, preferably in a sales organization. Must be a self-starter possessing excellent organizational skills and attention to detail. Must be a team player with the ability to multi-task and work effectively in a high-pressure, fast-paced, ever-changing environment. Will have excellent written and verbal communication skills and develop good working relationships internally and externally.
Will have the ability to maintain the highest degree of confidentiality and diplomacy. Must be computer proficient with advanced working knowledge of Microsoft Word, Excel and PowerPoint. Must be flexible to work overtime as needed. Bachelor’s degree preferred.
