The Virginia Department of State Police is seeking qualified applicants for an Executive Secretary position in the Bureau of Criminal Investigation, located at State Police Administrative Headquarters in Chesterfield County. This is a Non-Exempt position; therefore, this position is subject to the provisions of the Fair Labor Standards Act.
DUTIES: Oversees the administrative and clerical functions of the Counter-Terrorism & Criminal Interdiction Unit. Controls office functions with working knowledge of programs, policies, procedures and organization. Plans, schedules and coordinates meetings. Initiates, composes, compiles and maintains the integrity of confidential correspondence. Answers telephone, greets visitors and provides information. Ensures material filed in the general correspondence and personnel files is in compliance with the retention schedule. Notarizes official documents; retrieves statistical reports; monitors pending files; and tracks correspondence and reports. Opens, stamps, disseminates and reviews incoming mail and confidential correspondence to the Unit Commander. Provides administrative guidance, assistance and support to unit personnel by imparting knowledge of programs, policies, procedures, and organization.
QUALIFICATIONS: Considerable knowledge of office practices and procedures. Working knowledge of business English and arithmetic and of filing systems. Considerable experience in word processing systems, such as Microsoft, in the preparation of correspondence, reports and memoranda. Demonstrated ability to manage and organize general office operations; to establish priorities; to make independent decisions, to interpret, apply, retain and recall policies, procedures and written instructions; to maintain files and other information; and to communicate with staff, agency officials, and the general public. Must have significant secretarial experience including word processing. High school diploma or GED or an equivalent combination of experience and training related to the duties of the position required. BCI secretarial experience and knowledge of BCI policy and procedures preferred. Must be qualified to serve as a Notary Public.
