The Virginia Department of State Police is seeking qualified applicants for an Executive Secretary position in Sixth Division Headquarters in Salem. This is a Non-Exempt position; therefore, this position is subject to the Fair Labor Standards Act.
DUTIES: Delegates work of clerical staff by monitoring daily activities. Provides training for new employees and administrative assistance to support the Division and area staff. Composes routine and confidential correspondence and reports. Enters data and information into various databases. Manages filing system; updates numerous Emergency Operation Plans and manuals; retrieves data from computer programs; and notarizes documents. Oversees the maintenance and replacement of office equipment and serves as the Office Coordinator. Opens and distributes confidential materials.
QUALIFICATIONS: Considerable knowledge of office practices and procedures. Working knowledge of business English and arithmetic; of applicable laws, rules, and regulations pertaining to the supported activity; and of filing systems. Considerable experience in word processing systems in the preparation of correspondence, reports and memoranda. Demonstrated skill in typing. Demonstrated ability to communicate effectively; to prioritize work; to maintain files and other information; to work independently; and to interpret and follow written guidelines. Must have significant secretarial experience including word processing. High school diploma or GED or an equivalent combination of experience and training related to the duties of the position required. Must be qualified to serve as a Notary Public.
