As an important member of Fidelity Real Estate Company (FREC), you will provide advanced administrative and secretarial support to the Vice President and his team. The administrative staff at Fidelity plays a vital role in the company's success, and those individuals serving in these positions are recognized by their colleagues as key members of their group, department, or organizational team. You will deal directly with and provide support to management at all levels of the company and frequently deal directly with customers and business partners as well. Your excellent communications skills will be constantly put to the test, as will your ability to handle multiple tasks simultaneously as you serve as a focal point of a dynamic, fast-paced business environment.
Extensive calendar management for the division manager
Scheduling, preparation for and administration of meetings including coordination of meeting facilities, distribution of meeting materials, archival of meeting materials and distribution of minutes.
Produce PowerPoint presentations
Scheduling preparation and coordination of company-wide events
Domestic and international travel planning
Coordination of vendor and supplier meetings and reviews
Provides back up coverage for other administrative staff within division
Management of meeting room calendars, group’s space allocation and group’s supplies
Support annual FREC annual meeting with other executive assistants
Travel expense management or reporting
Other ad hoc duties as required
Education and Experience
A bachelor's degree strongly preferred, or, secretarial certificate/related work experience.
Must have 3-5 years of experience and the ability to interact with all levels of employees
Fidelity experience is strongly preferred
Ability to take basic presentation information and create PowerPoint presentations with visual impact or imagination.
Polished executive assistant with professional maturity and previous corporate environment experience preferred.
Ability to effectively interact with senior level management and maintain a high level of confidentiality required.
Skills and Knowledge
Proficiency in Microsoft Office software (Word, Excel, PowerPoint, and Outlook).
Strong reporting experience.
Must be extremely detail-oriented and possess strong communication and organizational skills.
Strong English skills
Ability to work with others
Should be self starter and proactive.
Self-starter with strong sense of ownership and involvement is critical
Must be flexible enough to work overtime if needed.
