Job Summary/Basic Function

Provides administrative and professional level support to the Vice President for Student Affairs and staff who report directly to the senior officer. Serves as recording secretary for RSAOC in-person and online meetings and Student Affairs Supervisors' staff meetings chaired by the vice president and maintains complete records of all meetings. Maintains a professional office environment.


Oversee the daily operations for the office of the Vice President for Student Affairs. Monitor inventories and purchase office supplies and materials. Maintain the office calendar for the Vice President for Student Affairs. Send and receive e-mail correspondence to and from Central Office, regional personnel, and other agencies and associations as appropriate. Responsible for office communications, evaluating documents to determine routing and/or responses, composing and preparing correspondence, monitoring college appointments, and maintaining office files, including confidential documents. Make travel arrangements and prepare travel requests and travel reimbursement claims. Maintain budget information for the Vice President's office. Perform research and gather information to assist in the preparation of reports and presentation materials. Ensure the production of professional quality reports and handouts. Carry out special projects as assigned. Collaborate with Academic Affairs, Marketing and Communications, and other involved offices for the editing, production, and distribution of printed and web resources to support initiatives of the office. Supervise other clerical support, as assigned. The above list of duties is not to be construed as an exhaustive list. Other duties logically associated with the position may be assigned.


Minimum Qualifications

An Associates degree with 2-3 years senior level administrative/office management experience. Substantial senior level administrative/office management experience may be substituted for the degree requirement. Must have strong computing skills including word processing, spreadsheets, databases, and presentation software. Possess excellent oral and written communication skills. Project at all times a professional image and ability to work well with a variety of people from diverse backgrounds. Demonstrate the ability to prioritize and handle multiple tasks. Must maintain confidentiality of office records and professional interactions. Must have willingness and ability to occasionally travel on college business.

Preferred Qualifications

Bachelor's Degree and experience in higher education.
