The Port of Long Beach is seeking an Executive Secretary to support the Managing Directors of two bureaus: Finance and Administration AND Environmental Affairs and Planning. This position performs the full range of executive secretarial functions. Additionally, this position serves as a back-up to other Executive Secretary positions in all functions. This may include assistance in the preparation of the Board of Harbor Commissioners agenda, minutes and other official correspondence.
The selected candidate will prepare correspondence, maintain various records and files, schedule meetings, travel arrangements and appointments, screen visitors and telephone calls, and perform other related duties as assigned.
High School diploma or equivalent is required. Two (2) or more years of college coursework is preferred.
A minimum of five (5) years of progressively responsible executive secretarial experience is required.
A valid California driver's license is required.
In addition to the minimum qualifications, the ideal candidate will be a team player with a collaborative work style, as well as the following:
•Excellent computer and word processing skills (must be proficient in MS Office including Outlook, Power Point, Access and Excel)
•Excellent verbal, interpersonal, written, grammar, punctuation, and proofreading skills
•Ability to work independently
•Detail oriented with strong organizational and time management skills
•Ability to handle confidential issues in a professional manner
•Ability to work with dignitaries, Harbor Commissioners, senior management, government and industry officials
•Must work well under pressure and be willing to work additional hours as necessary
COMPENSATION AND BENEFITS:
The salary range for this position is $52,800 to $66,000 annually. Placement is dependent upon qualifications, but is generally made at or below the midpoint of the range ($59,400). In addition, the Port of Long Beach offers a generous benefit package.
