DESCRIPTION

Provide administrative support. Answer phone calls, take accurate messages and route calls to appropriate person. Must possess basic knowledge of computer software systems such as Microsoft Word, Outlook and Excel. Process correspondence between departments and to external organizations. Maintain records on computer spreadsheets, perform word processing tasks and arrange meeting times and places for staff and clients. Must have demonstrated capabilities at this level and 2 years office support experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Carry out recurring office procedures independently, and select the guideline or reference that fits the specific case
  • Supervisor/client provides instructions on new tasks
  • Respond to routine telephone requests that have standard answers; refer calls and visitors to appropriate staff.
  • Control mail and assure timely staff response, and send form letters
  • Occasionally required to make travel arrangements
  • As instructed, maintain calendar(s), make appointments, and arrange or meeting rooms
  • Review materials prepared for customer(s) approval for typographical accuracy and proper format
  • Maintain recurring internal reports, such as time and leave records, office equipment listings, correspondence
controls, and training plans
  • Requisition supplies, printing, maintenance or other services, take and transcribe notes and minutes, create and maintain office files.
  • Provides excellent customer service at all times
QUALIFICATIONS

ADDITIONAL DUTIES AND RESPONSIBILITIES
  • Performs other duties as assigned by supervisor or designated individual
Qualifications:
  • High School diploma required, bachelor's degree preferred
  • 1-2 years of progressive administrative experience
  • Basic experience in Microsoft Word, Outlook and Excel
  • Customer service orientated
