Position Description
Performs moderate secretarial and clerical duties for State Executive Directors and Service Center Directors. Coordinates and communicates with other management and executives of the company as needed.

Position Requirements
Performs moderate and confidential administrative and secretarial duties for the State Executive Directors and Service Center Directors. Maintains confidentiality in all matters. Organizes and priorities own assignments to ensure timely and accurate completion of work.
Greets and directs internal and external customers to the appropriate person(s). Handles customer and employee inquiries. May refer more complex inquiries and/or complaints regarding company policies and procedures to appropriate officer and/or personnel.
Uses discretion in answering and screening telephone calls.
Uses the personal computer to compose routine and non-routine correspondences from brief notes or oral or written instructions. Types reports and creates forms as needed. Proofreads materials for accuracy.
Receives and assigns incoming mail to appropriate personnel to handle. Responds to simple emails for supervisor. Retrieves files and materials needed for supervisor to respond to email/mail.
Controls, coordinates, and maintains supervisor’s calendar; schedules and coordinates meetings, appointments and other activities. Assists in compiling meeting agendas and speeches, etc.
Obtains data from various sources, analyzes data and prepares quarterly and monthly reports. Prepares presentation materials. Prepares and types reports for Board of Directors and stockholders meetings.
Maintains records, confidential files, and hold/diary system. Does follow-up work as needed.
Requisitions, distributes, and maintains supplies. Prepares expense reports and handles payments for expense items. Uses Microsoft products to perform daily activities.
Makes travel arrangement and hotel reservations.
Performs other duties as assigned.

Preferred Skills and Abilities
Position will support multiple states.

Physical Actions
Required job duties are essentially sedentary work consisting of occasional walking, standing and lifting and/or carrying 10 lbs. maximum. Must be able to sit for extended periods of time using repetitive finger and hand motion on the keyboard and able to see personal computer monitor screen.

Physical Environment
Required job duties are normally performed in a climate-controlled office environment.

Education Requirements
High school diploma or equivalent.

Experience Requirements
Two years in a clerical position or one year as a Department Assistant.

Special Skills Requirements
Proficient in Microsoft word, excel, power point, etc. Ability to use professional vocabulary and grammar. Type 50 plus WPM with accuracy.
