Supports internal departments by providing incoming and outgoing mail services, ensuring adequate mailroom inventory, accurately tracking department postage use for budget purposes, assisting with meeting room set up, and coordination of audio/visual equipment.

Receive, distribute and prepare Company mail.

Prepare materials/outgoing mail/mass mailings such as but not limited to general daily mail, newsletters, member materials, and educational flyers for mailing including: applying postage, preparing items for shipment or collection, and validating mailing addresses using automated mailing equipment and software applications.

Maintain all mail logs and reporting documentation as required.

Answer incoming overflow calls from Receptionist phone queue as required. Back up receptionist as needed.

Perform start-up and opening tasks for the mailroom and reception area.

Functions as ?key? operator for inventory on common photocopiers and facsimile equipment; refill printers, copiers and fax machines with paper, coordinate routine maintenance and service calls, and maintain service records.

Monitor and maintain inventory of standard office supply items, including stationary products, to ensure stock on hand at all times. Pull packages and deliver supply items to requesting department.

Move boxes of in-transit records as directed. Assist user departments in proper packing and labeling of records for off-site storage.

Monitor and maintain inventory of employee welfare goods, such as coffee and first aid supplies to ensure stock on hand at all times. Clean and maintain coffee equipment and lounge areas as needed.

Receive all deliveries and escort delivery personnel to appropriate storage area. Verify deliveries against printed order, checks quantity and description, reports discrepancies or damage to supervisor/lead. Complete receiving log and deliver packages to recipients in a timely fashion.

Responsible for meeting room set-ups, and coordinates all audio/visual equipment. Must set up rooms and equipment before meetings, and clean up after meetings.
Transport packages and deliveries to/from Storage areas/sites.

Perform light housekeeping, maintenance, and repair duties.

Perform general office duties such as filing and photocopying as needed.

Function as liaison with recycling and shredding vendors for proper collection and disposal of materials.

Contribute to team effort by accomplishing related results as needed.

High school diploma or equivalent, or related work experience.

One to two years experience in office environment.

Satisfactory verbal and written communication skills.

Experience with general mailroom functions and ability to operate computerized mail equipment.

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Experience with MS Office, Excel, Word, Outlook.

Office Hours: Monday-Friday, 8am to 5pm. Extended work hours and weekends, as needed.

Ability to routinely lift 30 lbs.
