About the Facilities Coordinator Opportunity:
The Facilities Coordinator encompasses a wide range of administrative support services including reception, facilities & vendor maintenance, office and mailroom operations, supply procurement, office and workspace moves/ reconfigurations. Essential job duties will include:
During staffed reception hours, answering and routing all calls to appropriate parties, checking voice mail, greeting and notifying staff of visitors and validating parking – while maintaining a professional, positive and orderly office atmosphere
Facilities Coordinator & Support Duties
Assisting the Facilities Manager in the planning and management of office moves, including work area improvements/reconfigurations and general repairs as needed for new existing employees
Maintaining positive facilities’ vendor relationships to ensure fair pricing and prompt service
Regularly inspects facilities to monitor for areas needing repairs. Works closely with building management and vendors to ensure repairs have been competed in a timely and satisfactory manner. Escalates issues when appropriate
Responding to employee requests and needs via the management of an in-house facilities ticketing system. Updating space plans and drawing using Microsoft Visio
Coordinating company parking activities including, invoices, tracking and database management
Distributing and processing mail; preparing overnight packages and other shipments
Administering the company’s security access badge system
Managing on-site copy machines including the internal address book and the ordering and stocking of supplies
Coordinating ergonomic & safety issues (e.g. environmental compliance and security)
Assisting with setup and breakdown for company meetings & events including audiovisual equipment and food/beverage services
May manage emergency situations through the calm and effective facilitation of the company’s emergency response processes
May be responsible for other duties and responsibilities as assigned
Skills & Requirements
Minimum 2 years in a facilities or office management role in a fast-paced, challenging environment
High school diploma or equivalent
Excellent communication skills, oral and written
Demonstrates knowledge of general business procedures and office equipment
Proficient with Microsoft Office Suite, SharePoint and Visio
Experience with ticketing tracking software preferred
High degree of initiative, multi-tasking abilities, customer service and problem solving skills
Ability to work overtime or weekends when needed
Maintains a professional appearance and demeanor to successfully work with all levels of employees, customers and the public
Demonstrates a commitment to continuous learning and the flexibility to adapt to new or changing situations
Team oriented and an ability to meet deadlines and work well under pressure
Willingness to assume additional responsibilities, duties or projects as they arise
