The position of Facilities Coordinator in the USC Viterbi School of Engineering (VSoE), Viterbi Business Affairs/ Facilities Services, reports directly to the Director of Facilities. This Facilities Services position is primarily responsible for responding to facilities maintenance requests, preparation of work requests, and following-up on the status of jobs preformed by USC's Facility Maintenance Services. Facilities Services is directly responsible for the maintenance of space assigned to central departments, including the Office of the Dean, External Relations, Viterbi Business Affairs, Admissions and Student Affairs, and Doctoral Programs, as well as Ronald Tutor Hall (RTH), an interdisciplinary and administrative building, and the space allocated to the VSoE at the Annenberg Research Park (Kerckhoff Hall, Kerckhoff Carriage House). Facilities Services works with departments to manage the remaining space. The Facilities Coordinator assists these departments in maintaining their space. Job Accountabilities include: - Prepares work requests and follows-up on the status of maintenance jobs and capital projects. Reviews work requests and contacts or visits sites to confirm completed work or determine status. Handles priority requests by coordinating with appropriate campus offices and external vendors. - Monitors and follows-up on the status of work order requests to ensure assignments are completed properly and within - Maintains logs of facilities and equipment maintenance, repairs and/or requests. Communicates status of work orders to appropriate staff. - Orders and maintains keys. Coordinates locksmith services. - Issues keys and maintains records. Provides keys for temporary access to staff and/or workers for repairs. Refers requests for permanent keys to facilities manager. - Conducts routine maintenance inspections of facilities for deficiencies, safety hazards and/or code violations, such as field inspections of lighting, temperatures, signage, housekeeping and phone systems. Conducts inspections of facility equipment, and coordinates required repairs and/or purchases. - Coordinates telecommunication projects for assigned facilities. May include developing and coordinating staff training programs. - Monitors and analyzes facilities expenses. Assists with developing facilities cost projections, as required. Reconciles facilities expenses to University financial records and initiates correcting entries. Assists with coordination of facilities year-end closing activity. - Assists with special projects as needed or required. - Oversees student workers as assigned.

Minimum Qualifications:
Minimum Education:
Related undergraduate study Combined experience/education as substitute for minimum education

Minimum Experience:
3 years Combined education/experience as substitute for minimum experience

Minimum Field of Expertise:
Knowledge of computer software for record maintenance and familiarity with facilities operations.

Preferred Qualifications

Preferred Education:
Preferred Education and Experience: Related undergraduate study. Prior experience in a university environment.

Preferred Experience:
Knowledge of Microsoft Word, Excel and Access and familiar with facilities operations. Must be a self-starter and possess good written and oral communication skills.

Preferred Field of Expertise:
Proficiency in MS-DOS, Windows, and Macintosh operating systems, spreadsheets, and communications software.
