The Facilities Maintenance Coordinator will perform routine maintenance and janitorial tasks as well as coordinate changes or rearrangements of furniture and equipment for the Mitchell and Sioux Falls facilities. This position will coordinate all facilities contracts with local and national vendors which include, but is not limited to HVAC, electrical, plumbing, systems furniture, snow removal, lawn care, plant care (internal and external), garbage removal, etc. The Coordinator will also provide administrative support to the site, including incoming and outgoing mail/FedEx pickup and delivery, recycling, document shredding, office cleanout and make-ready, end-of-day safety checks, etc.
The Facilities Maintenance Coordinator should have a pride of ownership in extending the high quality of professional image of CHR Solutions throughout the facilities and grounds. Incumbent will successfully meet or exceed business unit goals while maintaining quality standards, controlling expenses, and following company and business unit directives and practices
Maintain or coordinate routine maintenance and upkeep of all internal building systems, including but not limited to door entry, fire control, HVAC, electrical, plumbing, air handling units, time clocks, etc. Communicate with contractors and/or vendors for emergencies, updates and all related matters.
Maintain or coordinate routine maintenance and upkeep of external facilities including but not limited to parking lot, signage, exterior lighting, flags, etc. Communicate with contractors and/or vendors for emergencies, updates, and all related matters.
Maintain or coordinate grounds keeping duties including but not limited to lawn care, pruning, planting, removal of litter, etc.
Monitor the cleaning contract with local cleaning service as well as the garbage removal contract. Set standards, monitor performance and adjust assignments as needed.
Maintain contracts with Storage vendor and perform routine checks of any storage facilities to insure appropriate care of any stored assets.
Respond to service requests as needed on a daily basis to provide a safe and comfortable working environment during the hours of operation for the Mitchell office. Includes but is not limited to changing light bulbs, adjusting thermostat controls, handling minor plumbing problems, changing furnace filters, and spreading ice melt on sidewalks, etc.
Manage all safety and security related items including routine upkeep of fire extinguishers, safety inspections, etc. Coordinate fire drills and other safety measures with local fire departments or other public entities. Stay current on State and Federal OSHA and other safety regulations.
First respondent on the call roster for all building alarms (fire, temperature, etc); coordinate backups as needed.
Assist with office moves as well as moving of equipment and furniture; includes adjustment/re-adjustment of workstation cubicle shelves, flippers, chairs, etc.
Order, receive and coordinate the installation of furniture, fixtures and equipment as approved. Negotiate contracts and pricing for vending machines, coffee supplies, paper supplies for kitchen and related items; maintain appropriate inventory.
Maintain database and other tracking systems for contractor files, vendor files, and all other documents and records related to facilities maintenance. Provide key vendor contact information so information can be maintained on the company’s intranet site (VIBE).
Maintain a current accurate floor plan of furniture configuration for each office.
Maintain an accurate inventory of owned and leased facilities equipment including any that may be stored for future use.
Ability to travel by car and/or plane; may include weekend travel. Current valid driver’s license required.
Develop and maintain technical competencies as defined by departmental management.
Provide services in a professional manner, adhering to all CHR Solutions standards as identified in the Employee Handbook, the performance evaluation system, and other company and departmental programs and policies.
Identify, meet and/or exceed client expectations within defined parameters related to delivery of services, quality, revenue, and sales goals.
It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management, and based on the needs of the business.
High school diploma or equivalent required; equivalent combination of education and experience accepted
OSHA certification preferred
One or more years of experience in facilities management
Knowledge of OSHA regulations
Experience with blue prints and schematics
Experience in maintenance related to structural maintenance, including but not limited to roof, parking lot, painting, lighting, etc
Experience with control systems, including but not limited to HVAC, electrical, plumbing, security, sprinkler, etc
