The Facilities Manager is responsible for the day-to-day maintenance and operations for the Facilities Department at Pratt Institute. This person will serve as the liaison between clients, building technicians, vendors, and contractors. S/He will oversee the maintenance or custodial operations of the Facilities department, as well as coordinate and manage work orders. In addition, this person will assist with the preparation of capital and operating budgets.
Manages the proper operation and maintenance for specific facility buildings and grounds.
Inspects physical facilities to ensure compliance with good practices and standards.
Manages and coordinates work assignments for building technicians, vendors, and contractors.
Designates and manages facility staff to deliver expected service levels within the budget.
Assures work is completed in a timely manner.
Generates, prepares and administers work orders.
Communicates frequently with all involved.
Reviews work orders to ensure that assignments are completed
Reviews price quotes for the procurement of parts, services, and labor for projects.
Develops and maintains positive relationships with clients.
Responds to problems in a tactful and expedient manner.
Attends client meetings for facilities matters.
Recommends and assists with the preparation of capital projects and operating budgets.
Assists with the preparation and monitoring of monthly operating budget variance reports.
Assists with coding accounts payable invoices to ensure correct cost center accounting classification.
Performs all other duties as assigned.
Experience and Qualifications
Education: Bachelor’s Degree in Facilities Management, Architecture, Construction, or Engineering, preferred; or equivalent field experience.
Experience: At least five years of relevant experience in facilities management; administering budgets, and supervising staff. Experience in training employees on policies and procedures required
Skills: Must be fluent in MS Office Suite. Knowledge of building trades in a union shop, as well as knowledge of mechanical and safety systems is highly desired.
Other: Proven track record in the successful and timely completion of facilities projects that are within budget and that meet or exceed customer expectations. Demonstrated ability to comprehend, interpret and evaluate business documents, prepare reports and manuals, as well as motivate employees and client groups to take desired action.
