Department: General and Administrative Location: Phoenix, AZ
Responsibilities:
  • Organize day to day workflow of office tasks for satellite office location;

  • Communicate with supervisor and as appropriate on opportunities/issues involving Phoenix operations;

  • Maintain safety and security at all times by ensuring that paths of egress are not blocked, exit signage is functional, doors do not stick and latch properly, extension cord wiring is secure to avoid tripping hazard, etc. (i.e.- general workplace safety);

  • Complete work orders or notify building management as applicable for HVAC, plumbing, lighting, pest control, housekeeping or other issues needing attention;

  • Order, stock, track and maintain inventory of supplies, including general office products/consumables, shipping materials, pantry and coffee system supplies, copier/printer/fax supplies, keys, office furniture parts and accessories;

  • Handle shipping and receiving by way of sorting, tracking and distribution in a timely manner. This includes ensuring supplies are in stock to provide same;

  • Print mailing labels and/or fax cover sheets and keep postal supplies stocked such as certified mail receipts, envelopes and packaging, postage printer ink and labels;

  • Install copier/printer toner cartridges, directory name plates, and office accessories, including bookcases, chairs, filing cabinets, tables and or other items, as needed;

  • Assist departments with facility issues, including lock changes or keying, adjusting equipment and furniture, replacing lamping, assigning desk or file cabinet keys, resolving appliance issues and resolving staff/department requests to the extent possible;

  • Assist with ordering Shred-It bins and ensure compliance with document removal/shredding while vendor is on site. May order containers as needed;

  • Visitor acceptance and greeting as well as back up phone coverage as necessary;

  • Set up directional signage and message boards for events and meetings;

  • Prepare training rooms and conference rooms for meetings, inclusive of cleaning write boards, making sure supplies are in place, verifying the operation of audio-visual equipment, arranging seating and tables;

  • Assist departments in the setting up of offices, meeting room space or catering needs;

  • Schedule copier/printer/fax and other office equipment repairs;

  • Resolve backordered items and mail issues; and

  • Routinely maintain pantry areas, inclusive of refrigerator monitoring and cleaning.

Job Requirements:
  • High school diploma or equivalent experience required; Associates degree or higher preferred;

  • Minimum of 3 years office service experience, preferably in a legal, banking or large corporate environment;

  • Ability to provide prompt, courteous and excellent customer service to internal and external customers at all times;

  • Excellent verbal and written communication skills;

  • Provides input to improve operational efficiencies;

  • Ability to maintain strict confidentiality;

  • Ability to prioritize work to balance responsibilities in a fast-paced team environment, while providing attention to detail, as well as, accuracy and quality;

  • Intermediate computer skills necessary, including knowledge of Microsoft applications, such as Word, Excel, PowerPoint and shipping software programs strongly preferred;

  • Must be able to lift up to 25 lbs. on a regular basis, and on occasion up to 50 lbs;

  • Must demonstrate consistent and punctual attendance and press to assure company‚Äôs core values are met and maintained; and

  • Experience using a ticketing request system preferred.
