Summary of the Position:|
Responsible for supervising the general building facility operations such front desk support, space allocation, and daily building maintenance requests. Ensure buildings are equipped with safe, efficient, compliant and reliable systems.
Roles and Responsibilities:
Supervise the scheduling and performance of routine maintenance, preventative maintenance, and on-call maintenance for building infrastructure systems using computer maintenance management system (CMMS) to ensure little or no down time of equipment.
Oversees and inspect projects involving repairs and minor renovations and arranges for vendors and contractors required for projects. Direct the work of and supervise both internal staff and contractors who construct, maintain, and repair utilities systems, buildings, and equipment via one or more of the following trades: electrical, plumbing, carpentry, HVAC, painting and/or general maintenance. Submits orders for supplies and equipment needed for maintenance duties. Updates maintenance/repair records and reports status to management
Ensure buildings are equipped with safe, efficient, compliant and reliable systems by assessing performance of systems on an ongoing basis through regular inspections and surveys including: HVAC, electrical, fire suppression, plumbing and other systems as needed Partner with Director, Facilities in executing facility improvements and construction projects. Act as project manager when necessary.
Maintains the appropriate staffing levels in order to reduce waste, costs, and to optimize operational performance. Ensures that all employees are oriented and trained appropriately and receive timely and constructive feedback on performance and proper development.
Coordinate with vendors and contractors in performance of service and maintenance service calls that are necessary to maintain the facility.
Responsible for monitoring, completing and reviewing facilities service requests in Micromain system. Provides weekly repor t s summarizing facilities requests and ad hoc reports from Micromain as needed to identify trends. Analyze reports and make recommendations for changes and/or improvements to create greater efficiency and effectiveness.
Maintain building security system which includes monitoring of essential equipment and perimeter security of the building; issues building access cards per; produce reports on activity as needed
Maintain fixed assets inventory of furniture and fixtures to track expenditures and usage for budgeting.
Proactively identify current and future space constraints. Assist with internal space allocation plans and document and complete staff moves/adds/changes Establish and maintain high quality standards and sound operational cost controls for all services that pertain to facilities functions. This includes cost benefit analysis of processes and procedures in order stay within the department budget and to provide methods for reducing cost if possible.

Knowledge, Skills, and Abilities:
Ability to read and understand drawings, schematics, sketches, floor plans, specifications in order to participate in the project plan. Strong customer service focus and excellent interpersonal skills. Must possess ability to adjust to changing priorities and exhibit sound judgment. Ability to interact with all staff levels in a professional manner. Ability to demonstrate a strong sense of urgency when required. Must be organized and recognize the need to maintain building facilities in a neat and organized fashion. Ability to work independently and productively. Intermediate understanding of skilled trades such as: equipment maintenance and repair, plumbing, electrical, carpentry and other trades required to maintain operation and appearance of assigned facilities. Experience coordinating work of technicians, vendors and contractors. Basic computer skills; experience in Micromain or other computerized maintenance management system desired. Excellent verbal and written communication skills. Proven ability to follow instructions and solve practical problems. Proven ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to participate in on-call rotation, to respond appropriately to calls outside of normal business hours and to work overtime as requested.
An AA degree required; Bachelors degree desired.
A minimum of 5 years of technical and hands-on training and experience in various aspects of facility maintenance. Minimum of a year of supervisory experience.
