Reporting to the Faculty Practice (FP) Director at the College of Dental Medicine (CDM), the Faculty Practice Administrator is responsible for the operations, revenue cycle management, development and implementation of policies and procedures, budget management, and the planning and implementation of new systems to support the practice operations and its expansion.

The CDM FP provides 30,000 visits in five Manhattan locations and generates more than $8 million annually. There are 37 participating faculty providing a full range of comprehensive oral health services; there is an oral and maxillofacial surgery service and an oral pathology service.

1. Revenue Cycle Management: Reviews, designs, and implements processes surrounding fees, billing, third party payer relationships, collections and other financial analyses to ensure that the revenue cycle is effective. Assures that uniform policies and procedures are implemented related to the front-end revenue cycle. Reports discrepancies and irregularities to FP Director and CDM Accounting Director; develops and implements corrective action plans as per procedures.
2. Operations, General Administration, and Planning: Oversee the planning and conversion from the existing billing systems to a new integrated EHR billing system. Develops and implements performance standards and operational changes to improve efficiency and quality. Prepares reports and provides data for management, surveys, regulatory and other purposes. Works with practice managers, CDM business office, and Columbia University (CU) Purchasing to establish a uniform inventory and to assure an efficient workflow. Ensures practice facilities and equipment are maintained. Works with Environmental Health and Safety, and Radiation Safety Units to assure all regulatory requirements are met. Develops budgets and explains variances. Prepares business plans to address operating deficiencies, practice expansion, new program development, and tethered service agreements for faculty.
3. Supervision: There are three direct and approximately 40 indirect reports. Assures that all HR functions and responsibilities are managed, including but not limited to: staff orientation and training program; personnel record maintenance; staff development and performance management. Develop employee manual specific to the dental FP. Provides on-site coverage for managers as needed during absences/vacancies.
4. Patient Access and Experience: Manages and monitors marketing and outreach efforts; Leads patient-centered care initiatives and customer service experience, standards and outcomes. Demonstrates the highest level of customer service with patients, coworkers, supervisors and faculty. Responds to and documents patient complaints; performs root cause analysis to make required changes to processes, services and training programs.
5. Policies, procedures, and systems: Serves as liaison to the Faculty Practice Organization and other University units as requested by the FP Director. Represents the practice at meetings, serves on committees and supports new initiatives.

Minimum Qualifications for Grade
Applicant MUST meet these minimum qualifications to be considered an applicant

Bachelor's degree or equivalent in training and experience, with at least five years of group practice management experience. Experience with billing and reimbursement;
Ability to undertake multiple tasks; superior oral and written communication skills with high degree of interpersonal ability to develop service-oriented practice.
Ability to organize data/information; prepare and deliver PowerPoint presentations for various purposes; proven track record managing clinical practice operations; ability to provide initiative, judgment and creativity in the resolution of complex problems; Advanced computer literacy required (Word, Excel, PowerPoint).

Preferred Qualifications

An MBA, MPH, or MHA is desirable. Experience with implementing a billing system conversion and conversion from paper to electronic record is preferred. Experience with dental practice management a plus.
