The Timekeeper / Field Administrator is responsible for all interfaces between the TSA R&E accounting department and the Client accounting department. All Payroll, A/P and A/R functions will be routed through this position.

JOB REQUIREMENTS

Key Work Experiences/Education:
High School Education or equivalent

Bachelor’s

Degree Preferred

Professional individual with a minimum of 3 years of Timekeeping experience, and at least one year of accounting and administrative experience.

SAP, Track, Field Accounting, ECMS/AS400, Excel, Word, Outlook

Technical/Functional competencies required:
Payroll;

Inputting payroll in the TSA R&E timekeeping system and client system, interfacing with TSA R&E

accounting to assure payroll is correct, resolution of payroll discrepancies, management of per diem advances, obtaining client approval of timesheets, and communicating daily man-hours to regional office.

Company owned rental;

Tracking company owned equipment billable hours, development of client approval forms for company owned rentals, and obtaining client approval for company owned rentals.

Third party rental/materials;

Maintaining and assuring PO's are logged and properly approved for bill-back, tracking status of rental charges to assure PO amount is not exceeded, collecting and tracking receipt paperwork, interface with TSA

R&E A/P to assure vendor is being paid timely and per PO, and interface with TSA

R&E

A/R to assure client is being billed timely and per contract.

Subcontracts;

Assure subcontracts are completed before commencing work and are on the TSA R&E

approved subcontractor list, ensure subcontracts are approved by client for bill back, tracking of status of subcontract to assure change orders are written to cover any exceeds, interface with TSA R&E A/P to assure subcontractor is being paid timely and per subcontract, interface with TSA R&E

A/R to assure client is being billed timely and per contract.

Invoice tracking;

Assure properly billable charges generated from the field are accurately converted to a client invoice in a timely manner, track the status of all invoices through the client approval process, assure that invoice are correct and scheduled to be paid per contract terms, and maintain an invoice log that shows the current status of all invoice from inception to payment.

The Field Administrator must have an intermediate knowledge of MS Office 2000, Access, Word, Excel and Outlook. This position must exercise considerable judgment and discretion involving confidential information. Flexibility, multitasking and organization skills are critical for the success of this position. Industry experience preferably.

Successful candidate must meet all conditions of TSA R&E Drug and Alcohol testing requirements as a condition of employment. Drug/alcohol screening is administered post-offer and pre-employment.

The Field Administrator reports directly to the Site Manager with a technical reporting relationship to the regional controller.

Must be able to lift and carry up to 20 pounds unassisted.

Must be able to work long hours and all required shift schedules that may be up to seven days a week for extended duration’s
