Professional Community Management of CA, Inc. (PCM) is seeking a Full Time Field Associate Manager to join our growing team. The Field Services Associate helps in the operation of the Service Department, which includes daily dispatching of service techs and helps to administer policies established by the service department. Duties include receiving service requests from unit owners and property management staff, coordinating appointment schedules, performing weekly Service Department invoicing and administering department policies. This position reports to the Field Services Supervisor, has significant contact with the Board of Directors, committees, residents, guests, contractors, vendors, outside groups, associations and employees. ESSENTIAL DUTIES AND RESPONSIBILITIES: · Processes orders from Community Archives for termite inspection requests for residences in escrow. Order the termite report, review report for HOA vs. homeowner responsibilities, create a Letter of Intent, issue work orders for HOA responsible items, and load both the termite report and Letter of Intent to Community Archives. · Interacts with vendors via email, phone or in person to provide information as to how to become at preferred vendor with PCM. · Coordinates with vendors to schedule Meet & Greets. Collect marketing materials for file and send out thank you card after event. · Processes work orders for Field Services and assign to appropriate technician on a daily basis, being sure to include any keys, gate codes, etc that may be needed. · Processes paperwork from technician for each assigned work order. Print invoices on a weekly basis and distributes to managers. · Prepares reports at the end of each month to corporate accounting. · Processes orders from Community Archives for CCI inspections. Provide forms to appropriate inspector and processes report. · Back up support for CCI Inspector as needed. · Prepares orders for signs, materials, etc as needed to complete work orders. · Prepares correspondence relating to association business as directed. · Answers incoming calls from homeowners, Board members and vendors. Follow through on various requests. · Set appointments with customers as needed. · Processes and tracks violation notices to comply with Association CC&R’s. · Coordinates clubhouse rentals. · Programs gate transponders and key fobs. Order additional keys, fobs, remotes and transponders as needed. · Processes incoming proxies by alphabetizing and logging on to membership listing. · Provides all necessary copies of needed forms, etc for assigned association annual meetings. · Develop professional relationships with managers to promote business. · Participates as emergency back up on the on-call rotation schedule. The preceding functions have been provided as examples of the types of work performed by employees assigned to this job classification. Management reserves the right to add, modify, change or rescind the work of different assignment positions. NON-ESSENTIAL RESPONSIBILITIES: Assist with other jobs and other duties as necessary. QUALIFICATIONS: · Two years of prior customer service experience. · Ability to interact with customers, associates, and vendors in a manner that reflects the values of the organization. · Proficient knowledge of Microsoft Office including Word, Excel, and Outlook. · Ability to organize assignments, manage time and complete tasks independently with minimal supervision. · Demonstrates ability to solve daily issues, multi-task, and follow-up on work items. · Educational attainment equivalent to high school graduation. · Knowledge of community association practices; · This employee may be expected to work extended hours or overtime, and on-call status.
