These positions are located in the Patient Business Office of the VA Medical Center in Chillicothe, OH. As a File Clerk you will be responsible for a wide variety of tasks. Your duties include but are not limited to the following:
Work Schedule : Full-Time, Monday - Friday, 7:300 am - 4:00 pm
- Performs filing and clerical duties associated with retention, maintenance, and disposition;
- Maintains records in an organized and accurate manner;
- Removes records from various places and place in appropriate location;
- Receives and responds to both verbal and written requests;
- Utilizes a bar code system to track records;
- Prints bar code labels as required;
- Repairs damaged medical record file folders;
- Consolidates medical records with those from other VA Medical Centers;
- Files loose forms into medical and administrative file folders;
- Retires medical records by shipping to an outside records center.
NOTE : This is a full-time, TEMPORARY (not-to-exceed 180 days ) position. This appointment may be renewed for additional service in accordance with Agency needs. Temporary positions do not offer health or life insurance benefits and may be terminated at any time before the expiration date. The appointment to a temporary position does not confer eligibility for promotion or reassignment to other positions or the ability to be non-competitively converted to permanent employment.

To apply for this position, you must have the following qualifications:
Candidates must have at least 1 (one) year of General experience.
General experience is defined as any type of work that demonstrates your ability to perform the work of a File Clerk. Examples of general experience include: filing, scanning documents, document accountability, shipping records, labeling, creating/tracking/retiring records, and using a bar code system.
A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
SUBSTITUTION OF EDUCATION FOR EXPERIENCE: (COPY OF TRANSCRIPT REQUIRED WITH YOUR APPLICATION PACKAGE)
Successful completion of two (2) years of study above high school in any field. This education must have been obtained in an accredited business or technical school, junior college, college or university. To qualify based solely on education alone, you must include a copy of your transcript with your name, name of school, degree earned and date, grades earned, credit hours, major(s), and grade point average or class ranking with your resume or application form.
COMBINING EDUCATION AND EXPERIENCE (COPY OF TRANSCRIPT REQUIRED WITH YOUR APPLICATION PACKAGE):
Combinations of successfully completed education and experience may be used to meet total qualification requirements.
You will be rated on the following Knowledge, Skills, Abilities and Other characteristics (KSAOs) as part of the assessment questionnaire for this position:
1. Knowledge of filing procedures.
2. Knowledge to take appropriate action on loose and old files.
3. Ability to communicate and track records.
4. Ability to use a bar code system to capture and locate records.
Work is mainly performed in an office setting utilizing open-shelf filing and is subjected to dust. Position requires extensive lifting, bending, walking and some climbing. Must be able to comfortably lift and move up to 45 pounds.

HOW YOU WILL BE EVALUATED:
Applicants will be ranked based on four quality groups, as follows:
Best qualified - applicants possessing experience that substantially exceeds the minimum qualifications of the position including all selective factors, and who are highly proficient in all requirements of the job and can perform effectively in the position;
Highly qualified - applicants possessing experience that exceeds the minimum qualifications of the position including all selective factors, and who are proficient in most of the requirements of the job;
Well qualified - applicants possessing experience that meets the minimum qualifications of the position including all selective factors, and who are proficient in some, but not all, of the requirements of the job; and
Qualified - applicants possessing experience and/or education that meets the minimum qualifications of the position including all selective factors.
After the vacancy announcement closes, reviewed applications are evaluated against the questionnaire responses and placed in the appropriate quality group. Qualified veterans will be afforded preference by being placed at the top of the appropriate quality group. Qualifying veterans with a service-connected disability of 10% or more will be placed at the top of the best qualified group.
