Critical Action Items:

  • Create and upload requisitions according to BCFS accounting policies using the correct ledger codes from BCFS HHS approved budget as provided by the PD.
  • Updates and maintains budget tracker
  • Assist with all new hires
  • Assist staff in properly completing required agency forms.
  • Creates a filing system to manage personnel, client, and financial information.
  • Communicates respectfully with clients, community partners, and/or staff that call or enter the facility.
  • Submits background check in a timely manner
  • Takes minutes in staff meetings and on-call meetings
  • Assist staff with travel arrangements

  • Measurable Deliverables:

  • Submits requisitions to finance in a timely manner by set deadlines.
  • All files must be maintained neat and orderly.
  • Confidentiality of file information must be maintained.
  • Maintain a friendly and respectful demeanor in all workplace dealings with clients, community partners, and staff.
  • Complete all assignments by set deadlines while ensuring the assignments are professional in appearance.
  • Ensure that the office has the necessary office supplies to complete work assignments.

  • Other Responsibilities:

  • Assist the Foster Care Department in filing, faxing, copying, and monthly billing.
  • Assist in inputting client data into computer database.
  • Answers phones in a professional manner and assists with phone rotation at front desk.
  • Ensures the Foster Care area is a clean and safe work environment
  • At the direction of the Program Director, orders office supplies and equipment for the Foster Care Department.
  • Communicates regularly with Program Director on work schedule and status of administrative duties.
  • Receives approval for all purchases from Program Director and turns in receipts, expense reports, sign-in sheets, and other required documentations within the time frame established by the accounting department and/or contract requirements.
  • Other job duties as assigned.


    Education- High School Diploma or GED

    Experience- Three or more year’s administrative experience; accounting experience, basic level skill in Microsoft Word and Excel, Knowledge, skill and experience in managing filing systems and receiving/directing incoming telephone calls and visitors.


  • A minimum of a negative drug test and a valid Texas Driver’s License and a driving record that demonstrates safety and responsibility, as well as a clear criminal history check, and 3 positive professional references.
  • A desire and ability to work flexible hours and be responsive to staff, children, and families in need of support.
  • A working knowledge of computer data entry and retrieval.
  • The ability to communicate and problem-solve effectively with children, families and staff, and network to the agency's benefit within the community and with a variety of outside organizations.
  • The desire and ability to adhere to the ethics code of BCFS, and receive and implement the directives and critique of a supervisor.
  • Basic proficiency utilizing personal computers, including basic word processing and menu driven applications.
  • Ability to use up to 100 pounds of force occasionally and/or up to 20 pounds of force frequently, and/or a small amount of force continuously to move objects.
  • Ability to perform moderately difficult manipulation such as writing, typing, foot-and hand-eye coordination required.
  • Ability to walk frequently; occasionally stand for prolonged periods of time
  • Ability to receive verbal instructions, answer phones, etc. with some background noise.
  • Ability to function as a member of a multidisciplinary team.
  • Participate in monthly foster parent support group.
  • Ability to organize and prioritize duties/responsibilities efficiently.
  • Ability to communicate clearly in both written and spoken form, in English and Spanish language, preferred.
  • Maintains CPR/First Aid certification, if applicable.
  • Presents and maintains a professional appearance and demeanor; adheres to dress code of position/work area.
  • Is courteous to all children, visitors, and staff.
  • Abide by all BCFS policies and procedures.
  • Ability to work under minimal supervision; exercise good judgment and confidentiality.
