Position Overview:

The purpose of this position is to direct and oversee all aspects of administrative and front office functions, including the supervision of front office staff. The position will also provide indirect patient support for the facility by registering all patients in a timely manner, maintaining communication lines for all departments, recording data and performing all administrative functions as requested.

Essential Job Functions:
  • Register all patients presented to the facility for care
  • Maintain patient demographics and financial information in the system
  • Collect patient’s copayments
  • Prepare daily transaction logs and reconcile the cash drawer
  • Handle funds per office procedures
  • Batch patient charges and sends to billing for data processing daily
  • Answer telephone in a professional and courteous manner, record messages and communicate to appropriate medical staff
  • Compute and report monthly metrics as requested
  • Prepare and make weekly deposits
  • Maintain dietary logs and order food
  • Order office supplies as requested
  • Hire, train, schedule and supervise front office staff

Other Job Functions:
  • Audit daily logs, cash receipt book and transfers
  • Perform month-end procedures including but not limited to: shredding charts, boxing up charts and emptying binders for next month
  • Handle mail delivery daily
  • Maintain a clean working environment for the facility. Including the front desk, restroom, waiting room, break area and patient rooms
  • Assist medical staff as needed
  • Receive deliveries from various carriers and forwards to appropriate departments
  • Cover shifts when necessary

Basic Qualifications:
  • High School Diploma or GED, required
  • 3+ years experience in customer service, preferably in healthcare, required
  • 1+ year experience managing front office staff, required
  • Basic understanding of medical terminology, required
  • Proficiency with Microsoft Office (Excel, Word, PowerPoint and Outlook), required
