The principal responsibilities of an Information Coordinator is to manage the entirety of the digital information assets associated with a Contractor’s scope of work to efficiently and effectively deliver the requirements to GSH and the Project.
This role will be working as part of the GPO GSH Project Information Management (PIM) team and will be based in London, Staines, while managing work scope in multiple local and foreign locations, with multiple contractors around the world. An understanding of Engineering, Fabrication and Delivery is crucial to this role. Supplier management expertise required.
This role will be working with GSH Shah Deniz 2 Project; This role will encounter heavy Engineering interface, Fabrication and Delivery through Supplier management activities, Quality Assurance interfaces, Transportation and Delivery to site, Installation and Handover. Roles & Responsibilities
Governance and Control
Responsible for maintaining the integrity of the overall digital information sets as delivered by Contractor to GSH using a BP Electronic Document Management System and Central Information Store with accuracy and timeliness.
Support the GSH Project Information Manager to develop, deliver and implement PIM processes and procedures for the GSH team on SD2 Project
Support the GSH Project Information Manager to develop, deliver and implement key project-related PIM deliverables and Project alignment documents.
Ability to perform high-level Quality Check on incoming deliverables, to ensure requirements are met within a short period of time.
Enforce processes and procedures to ensure accuracy and global compliance efforts.
Support standardization efforts for GSH and promote within the organization.
Develop and deliver regular PIM reporting function for the project, supplier and global level
Lead and support Contractor teams to provide quality information management for GSH scope, with a complete and successful handover to GSH.
Responsible for alignment and delivery against the agreed Master Class Library (MCL), Supplier Data/Documents Requirements List (SDRL), Master Document Register (MDR) and management of the agreed Document Distribution Matrix (DDM) for SD2 Project.
Ensure submission of information on time, based on approved schedule dates and within agreed performance targets.
Support the GSH Project Information Manager in status inquires audits and reporting requirements. Represent Project Information Manager in regular meetings and team interfaces as required.
Develop and maintain interfaces with key project stakeholders, including Project, GSH Delivery team, GA Contractors and Suppliers.
Support GSH information management standardization activities and vision.
Participate in GSH PIM team meetings with other Information Coordinators, to establish continuity and best-practices across the GSH team.
Deliver efficient, effective and secure management of drawings and documents that includes document capture, handling, coding, updating, distribution, and oversight of access control permission to various groups and teams in line with agreed Project business rules and utilizing agreed EDMS
Ensure all Project stakeholders have the correct levels of access to BP EDMS and provide the necessary levels of training and guidance on their use
Provide periodic user testing) for selected EMDS applications (e.g. Documentum or SharePoint2010)
Issue & manage GSH document numbers Experience Required
Extensive experience required from Owner/Operator organization, with a background in Engineering, Projects and Operations. Supplier Management experience preferred.
Excellent communication and influencing skills, across the whole project irrespective of seniority, organizational or contractual boundaries.
Ability to present unaccompanied, to large audiences.
Team Leadership or management experience required and desire to further develop these through training and hands-on experience
Experience using electronic document management systems for controlling and reporting project data. Performance monitoring and improvement required.
Experience working with large contractor organizations and performing effectively in a multi-disciplinary, multi-cultural environment. Flexibility required.
Strong commitment to HSSE shown throughout career.
High level of self-motivation, self-confidence and ability to recognize gaps and address as needed.
15+ years direct experience in Oil and Gas industry
Previous experience in the Owner/Operator organization.
Experience with data management functions.
Experience with 3D visualization and modelling Any Other Information
