We, a thriving, vibrant, close to the bleeding edge property management company, are looking for a General Manager (Exempt position) to oversee the successful operations of a large urban mid-rise community association.

The search may not be easy as we are looking for a stellar candidate. The right candidate may not need to leap tall buildings in a single bound, but the candidate who can juggle will definitely have an edge in the competition. Now before you get out your unicycle and bowling pins, we mean juggle as in keeping lots of balls in the air and never dropping them!

And while the GM is juggling, the successful GM must wear many hats. Some of the duties of the GM include ensuring: the association is running within their budget, the account is managed in the most efficient way; the clients are happy, and the employees are doing their job and being all that they can be. But wait, there’s more….the GM must monitor and work closely with all outside vendors for the association (maintenance, landscape, lighting, etc.) and make sure they are conforming to their contracts.

Wow, I’m tired just thinking about it! In fact, just getting up to speed will take some real dedication, and the job itself will rarely fit into just 40 hours a week. So, the gauntlet has been dropped, are up to the challenge?

Under general supervision, manages and supervises the day to day activities of a mid rise property and handles all property operations as required by schedule, Board of Directors and homeowners. Responsible to consistently adhere to and perpetuate the mission and vision of the association.

PERFORMANCE REQUIREMENTS include the following. Other responsibilities may be assigned.
• Ensure all civil codes and legal document requirements are met and association remains in compliance
• Manage Board of Directors (BOD), homeowner and community relations. Attend all client meetings, including committee meetings as appropriate
• Create Board of Director meeting agendas and Board packets in accordance with company procedures. Responsible for all Board meeting follow-up, minutes and correspondence. Create draft agenda for Board package and assemble Board package. Take accurate notes at Board meetings of all actions and directions. Write and maintain minutes of the association
• Maintain positive and professional relationship with developer and successfully manage developer issues and/or transition, as applicable
• Take client calls, determine and execute appropriate action
• Conduct all walkthroughs (Landscape, Building, Violation, Architectural Review Turnover, Work Order verification, etc.)
• Manage all deadlines and updates for Merit Connect Task and Calendar Modules and Merit Connect database and website
• Responsible for association fiscal oversight including financial statement review and delinquency report comprehension. Must report to board if association spending exceeds budget
• Develop and prepare appropriate annual draft budget for Board approval. Implement and manage to the budget monthly for each client
• Manage association accounting needs including audit, tax payments, 1365 budget and delinquency monitoring.
• Oversee adherence to and consistently update appropriate maintenance and procedural manuals and conduct regular site reviews as stipulated in maintenance programs. Drive the implementation of community maintenance manual with engineering staff
• Manage association insurance coverage and needs ensuring adequate and consistent coverage in accordance with the association’s governing documents or greater
• Manage and submit all charge-backs to association(s) monthly for assigned association
• Establish and maintain Building Emergency Guidelines. Implement, oversee and maintain guidelines, including conducting fire drills, emergency equipment, etc
• Coordination and implementation of move in/move out activities
• Manage required litigation needs as appropriate or directed
• Manage vendor relations, including contracted on-site staff
• Author or provide correspondence, budget information, newsletters, and election information
• Manage bid process, develop Requests for Proposals, Scope of Work, review bid spec proposals and comparison spreadsheets and make board recommendations as appropriate
• Educate association board members on changes to legislation that affect their HOA.
• Responsible for all aspects of the annual meeting/election process
• Track and ensure requirements are met for processing Statement of Domestic Non-Profit and other required documents
• Be available on-call for after hour’s emergencies.
• Excellent customer service background/skills and a generally positive, can-do attitude.
• 2+ years of HOA Management and governance
• Demonstrate effective communication skills consisting of oral, written and listening skills
• Collaborative decision-making, relationship building and problem solving skills
• Ability to draft correspondence and respond to inquiries and client concerns effectively and independently
• Demonstrate organizational skills and time management abilities
• Must be able to attend and actively participate at night meetings as required.
• Basic knowledge of Microsoft applications, especially Word and Excel.
• Certified Community Association Manager (CCAM) or Professional Community Association Manager (PCAM).
Full time, exempt position. Normal hours are Monday through Friday with regular business hours. Attendance at evening meetings and occasional Saturday work required.
