DESCRIPTION

ANTICIPATED POSITION
Contingent on Grant Funding

Reporting to the Division Administrator, the Grant Administrator's role will be to primarily manage the division's post-award accounting, reporting, transactional, and reconciliation functions.

DUTIES

Post Award (85%)
  • Manages sponsored and non-sponsored accounts
  • Assists in the preparing the annual budget
  • Creates and processes salary accounting transactions and cost transfers within established deadlines
  • Reviews and clears charges in suspense in a timely fashion
  • Reviews and processes expense transactions (travel, invoices, check requests, honorariums, purchase orders, etc.) on appropriate accounts; manages cash/check deposits
  • Shepherds budgets, contracts, subcontracts, purchase orders through the Columbia University and Research Foundation for Mental Hygiene (RFMH) business offices
  • Establishes a mechanism for reporting the financial status of accounts to the PIs on a regular basis.
  • Notifies Division Director, PIs, and Division Administrator of significant budget under/over expenditures or other accounting issues
  • Assists with submission of annual progress reports
  • Coordinates grant close-outs including final reconciliation.
  • Maintains accurate financial records
  • Established systems for tracking tasks and follow-up actions to ensure timely completion of deadline driven duties and outcomes
Pre-Award (5%)
  • Provides back-up coverage for pre-award grants processes (e.g., budget development), as needed.
Other (10%)
  • Maintains calendar of the Division Director
  • Organizing meetings and conference calls.
  • Submit travel expenses
  • Other duties, as needed
QUALIFICATIONS

  • Bachelor's degree in business, finance, or accounting or bachelor's degree combined with equivalent training and experience.
MINIMUM SKILLS AND QUALIFICATIONS
  • Minimum 3 years related experience in business administration
  • Experience in non-profit accounting and fiscal management preferred
  • Proficiency in Microsoft Office, especially Excel required.
  • Experience with institutional software helpful but not required (RASCAL, ARC, PAC, WebFTask)
  • Detail oriented with strong interpersonal, organizational, writing, and math skills.
  • Ability to meet deadlines and handle multiple projects simultaneously.
  • Ability to anticipate, problem solve, and implement systems that contribute to an efficient working environment.
  • Ability to handle confidential information and materials.
