POSITION PURPOSE -
The Grant and Database Analyst is a member of the Foundation's grants and database management team. Responsibilities include processing and tracking applications and grants, ensuring grantees' compliance with grant terms and conditions, maintaining content and integrity of the grants management database, and fulfilling the information needs of the Foundation's various stakeholders, both internally and externally.
MAJOR TASKS, RESPONSIBILITIES AND KEY ACCOUNTABILITIES -
Ensure ongoing grants data accuracy and improvement of accuracy by establishing and maintaining regular vetting procedures.
Process grant requests, draft proposal summaries, create and monitor payment and reporting schedules, accurately enter board decisions, activities, coding and other data into GIFTS database.
Communicate with grant applicants on proposal submissions to the Foundation and answer routine inquiries from grant seekers in a timely manner.
Draft grant award letters, contracts and other correspondence to grantees.
Assist Grants Manager in maintaining and updating on-line grant applications using IGAM module in GIFTS database.
Creation of customized reports that assists the senior leadership team better manage and assess metrics and performance of the Foundation's work.
Assist Grants Manager in developing and enforcing compliance with policies and procedures to ensure data quality, integrity and reporting standards.
Maintain data integrity of the database on data entry entered by other users of the database by creating metrics and running periodic queries and checking data for errors or inaccuracies.
Train staff on how to pull accurate canned reports as it relates to their initiatives, and help with data collection projects on an as needed basis.
Prepare and provide weekly, monthly and quarterly reports from the GIFTS database.
Analyze and synthesize quantitative and qualitative data from primary and secondary sources to create simple, meaningful reports.
Coordinate and participate in the preparation and presentation of reports, visualizations and analysis, capture progress, trends and make appropriate recommendations or conclusions.
Assist Grant Manager in planning and preparing for the Foundation's annual audit.
Assist Grant Manager in preparing key grant reports for year-end close, external audits, 990 tax filing, financial statements and Board meetings.
NATURE AND SCOPE -
This position reports to the Grants Manager.
No direct responsibility for supervising others.
MINIMUM QUALIFICATIONS -
Must be eighteen years of age or older.
Must pass the Drug Test.
Must pass the Background Check.
Must pass pre-employment tests if applicable.
EDUCATION REQUIRED -
The knowledge, skills and abilities typically acquired through the completion of a bachelor's degree program or equivalent degree in a field of study related to the job.
YEARS OF RELEVANT WORK EXPERIENCE
PHYSICAL JOB REQUIREMENTS -
Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.
PREFERRED QUALIFICATIONS -
Bachelor's degree in accounting, finance, statistics or information management systems.
KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES -
2-3 years experience developing and/or managing data and reporting systems. General knowledge of other business database systems as they relate to grants, gift cards and finance management.
Proficiency in producing and analyzing financial reports, including P&L statements, and the ability to quickly identify trends and propose sound business decisions.
Experience writing/evaluating grant proposals.
Experience with QuickBooks and GIFTS highly preferred.
Excellent analytical skills, written and oral communication, and organizational skills.
Able to work and communicate with technical and non-technical staff.
