Under general supervision, provides support in functional areas of a human resources department.
Maintains records for various HR policies. Handles all HR-related inquiries and checks references. May compile statistics for management's use. May handle paper flow for periodic reviews. May be responsible for basic employee file maintenance.
May require an associate's degree or its equivalent with a minimum 5 years experience in the field or in a related area.
Familiar with a variety of the field's concepts, practices, and procedures.
Duties and Responsibilities • Provides administrative support to
Vice President with corporate projects, reports and presentations.
• Provides basic analysis of data and assimilates into
professional format. Also makes travel arrangements, schedules
meetings, as requested. • Provides technical systems and data
expertise with regard to HRIS (SuccessFactors; SAP) as well as Excel.
• Performs and prioritizes multiple tasks in support of all HR
Department management. • Processes invoices and records all
pertinent information to track department costs for budgeting
purposes; Creates reports, communicates current cost / budget levels;
Interacts with vendors to coordinate payment, remedy billing errors,
appraise of payment status, etc. • Coordinates the
administrative needs of all HR Department management related to:
organizing and maintaining personnel files, processing expense
reports; coordination of meetings (i.e. determining date
availability, invitations, venue procurement, catering, travel
logistics, ground transportation, AV needs and equipment, etc.);
creating / amending / proofing / finalizing PowerPoint presentations
used for meetings; scheduling webcasts / conference calls; finalizing
meeting notes and providing to the appropriate parties •
Maintains and updates calendar of vacation / PTO / time off •
Schedules interviews for recruiting candidates with interviewers, as
well as coordinating candidate travel (i.e. availability, flight,
hotel, car, meal, reimbursements, etc.) • Provides project
support to regional HR departments, particularly Heatcraft NA. •
Acts as a liaison between regional HR and corporate HR. •
Coordinates milestone recognition (floral / fruit basket / donation
requests)for births, get well soon, congratulations and condolences.
• Organizes and updates shared department databases. •
Updates and distributes department contact information. •
Collects and edits monthly staff reports and compiles dashboards.
• Orders and maintains supplies and arranges for office/
equipment maintenance • Manages incoming and outgoing mail and
the distribution of facsimiles. • Creates and maintains
organization charts and posts to database • Supports the
Performance Assessment and Leadership Review process including data
collection, organization and compilation of materials •
Additional HR duties as required.
