Job Description:

Responsibilities Include:
  • Entering and updating new hire applicants’ and other employees’ information in the Crew Personnel System
  • Manage team members personal belongings/luggage when left onboard in the event of medical, emergency or FTJ status
  • Oversee our onboard employee recognition program
  • Administering all Shipboard Department Change Requests
  • Responding to team members queries while off the vessel
  • Composing of reference letters
  • Compile and completion of all administration of grievance reports
  • Follow up on issues with crew mail
  • Coordinate applications for TEFL and CHT certifications
  • Request hotel reservations, confirmations, ground transportation, safeguard services and processing of all related invoices
  • Data entry, imaging, indexing, filing, updating, maintaining, verification, researching discrepancies if any, back-up, tracking, printing, scanning, preparation and distribution of documents and reports as needed
  • Communicate effectively within the department and liaise with other department personnel, shipboard personnel, agents, vendors, business partners, etc.
  • Answering phones and directing as needed
  • Obtain management signatures as needed
  • Placing orders, delivery and pick-up, proper coding, ensuring timely payments and maintaining related logs, invoices, receipts and paperwork
  • Maintaining integrity of personnel, systems and information contained therein
  • Coordinate and be actively involved in projects as directed by Director Human Resources Operations
  • Other duties as assigned by management
Requirements:
Highly organized, detail oriented, able to multi-task with enthusiasm, proactive, able to work independently in a fast paced environment, strive to build strong business relationships, possess professional verbal and written English skills.

  • Proficiency with MS Office and information systems
  • Able to coordinate and keep track of multiple activities at the same time without making errors
  • Able to work as part of a team
  • Excellent communication and interpersonal skills
  • Proven track record of prior administrative support experience
  • Using initiative and independent judgment within established policy and procedural guidelines
  • Communicating effectively with co-workers, superiors, vendors including public and private organizations and others sufficient to exchange or convey information
  • High School graduate
  • Diploma/Associate Degree in HR or related field
