The Human Resources Generalist will assist with the new hire process at KIPP Houston Public Schools and help implement the department’s services, policies, and programs. He/she will be responsible for the administration of KIPP Houston Public Schools’ procedures that relate to hiring, benefits enrollment, employee relations, federal and state compliance, as well as other HR functions.

The Human Resources Generalist contributes to the mission of KIPP Houston Public Schools by sustaining an employee-oriented culture that emphasizes the KIPP values of teamwork, high performance, creativity, loyalty, hard work, and commitment.


The Human Resources Generalist will:

1. Maintain Federal and State Compliance within the Human Resources Department

a. Implement the Human Resources policies and procedures set by the Chief People Officer and HR Manager

b. Respond to requests for information and documentation regarding State Unemployment Insurance. This includes responding to all unemployment applications, wage verifications, hearing requests, etc.

c. Responsible for maintenance of all matters related to Family Medical Leave. Includes tracking time out on leave, communication with employees and managers regarding leave status and updates, formal documentation of leave to meet federal requirements

d. Responsible for Worker’s Compensation administration and compliance

e. Responsible for HIPPA administration and compliance

f. Maintain accurate and complete electronic and paper files for all KIPP Houston employees

g. Preserve the confidentiality of sensitive employee information by maintaining a locked file system

2. Assist with management of the new hire process for new employees

a. Assist the HR Specialists with meetings for new employees to gather the appropriate new hire documents, answer any questions, and welcome new hires to KIPP Houston Public Schools

b. Carefully review new hire documents, specifically the I-9 Form and associated documentation to ensure that new employees are legally able to work at KIPP Houston Public Schools

c. Continuously look for ways to make the hiring process more efficient

d. Work with Payroll to ensure all new hires and employee changes are communicated and processed in a timely manner

3. Maintain the KIPP Houston Public Schools Job Description Library

a. Work with hiring managers to create accurate job descriptions as new positions are added to KIPP Houston Public Schools

b. Regularly update and modify job descriptions, as requested by hiring managers, when position responsibilities and duties change

c. Maintain accurate posting of current job descriptions KIPP shared network drive

d. Ensure descriptions for Title 1 funded positions meet the necessary requirements

4. Maintain accurate information on all district contractors

a. Educate managers and departments on requirements for contractors

b. Ensure that passing background checks are run on all contractors prior to the start of their assignment

c. Provide information to agencies and contractors regarding the process for fingerprinting and ensure fingerprints are complete prior to the start of their assignment. Link TXDPS files to KIPP Houston for continuous monitoring to ensure the safety of KIPP students and employees

d. Act as HR contact to third party agencies to ensure contractor listing is up to date and all records are accurate

5. Perform day-to-day HR duties

a. Responsible for final review and approval of all HR files and transactions prior to submission to payroll for each pay period

b. Assist with employee relations and serve as a mediator to find resolutions between employees and managers for complaints, grievances, and concerns

c. Work with the HR Manager to modify HR software tools to streamline the hiring process

d. Generate State Service Records as requested by terminated employees

e. Order business cards for employees and KIPP "onesies" as needed

f. Responsible for annual maintenance of KIPP Team and Family Employee Handbook

g. Assist with completion of special projects for the Compliance team and KIPP Foundation as needed throughout the year

6. Ensure a timely response to requests for information

a. Respond to employee inquiries

b. Provide employee information to the Superintendent, School Leaders, and Managers as requested

7. Participate in professional development activities and trainings to maintain current knowledge of human resource rules, regulations, and practices

8. Ensure that the operations of the Human Resources Department contribute to the mission and goals of KIPP Houston


Education and Knowledge:

Bachelor’s degree from an accredited institution, plus 2-4 years of experience in Human Resources. Experience in an education environment is strongly preferred

Proficiency with data entry and use of an HRIS system, like ADP Employease, PeopleSoft, SAP, or equivalent software is required

Professional development in the form of Region 4 compliance workshops and software training workshops is preferred

Excellent attention to detail and a high level of accuracy required

Excellent organizational skills required

Articulate, professional demeanor with strong self-confidence and initiative

Excellent interpersonal skills; Ability to work well with all levels of the organization and with external contacts

Understanding and belief that Human Resources is a service role within the organization

Proven written and verbal communication skills

Strong typing skills are required

Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint)

Proficiency using computers, printers, copy machines, and fax machines
Spanish fluency is a plus, but not required
