The Operations Associate will be responsible for processing vendor invoices, administrating various employee programs and responding to requests from employees, legal and other internal HR organizations. The Operations Associate must respond accurately and timely to requests for personnel files and information needed to contest unemployment claims. This role is also the custodian for the Red Oxygen messaging account, all US and Canadian Personnel files and the supervisor files.

Responsibilities may include:
Verification of Employment and Wages: Works with vendor to handle day-to-day operations and invoicing

Unemployment Claims Processing: Works with vendor to handle day-to-day operations and invoicing

Working closely with HR Business Partners to supply needed information in contesting unemployment claims

Subpoenas and requests for Records

Coordinate subpoenas and internal requests for records as the custodian

Tuition Reimbursements

Review applications and process for reimbursement

Educational Reimbursements under the ConocoPhillips Severance Pay Plan

Approve plan of course study and process applications for reimbursement.

Outplacement Services

US Employees seeking outplacement assistance to prepare for a new career – process invoices from vendors

Call Center Texting – Process invoices only

Personnel Files Custodian

Respond to requests for personnel files

Send documents for imaging and add documents to digital files using LiveLink

Supervisor File Custodian

Send documents for imaging and add documents to digital files using LiveLink

Service Awards

Work with vendors to process and pay invoices for the Service Award Programs in US, UK and Canada

Qualifications

Basic/Required:
Legally authorized to work in the United States

Bachelors Degree or higher in Human Resources or Business related field

Proficient with Microsoft Office

1+ years of HR related experience

Preferred:
Good communication skills both verbally and written

Customer focused

Relates well with employees at all levels

Results Oriented

Able to manage details

Able to deliver accurate and timely services

Experience working with vendors

Basic SAP and LiveLink skills
